Job description

An exciting opportunity is available to join our Flight Coordination Team! Would you like to join our dedicated team providing luxury helicopter services?
As a Flight coordinator you will serve as a central point of contact for the Helicopter Flight Operations. You will interact with the department manager, executives, employees, and customers while providing the highest degree of customer service, confidentiality, and attention to detail. You will execute all aspects of flight scheduling, office administration, Weather, FAA regulation and company policies and procedures, to include that of Flexjet, oversight of department staff scheduling, as well as assist in the assignment of aircraft and the overall schedule.
What you will do...
  • Oversight of department staff scheduling and assist in the approval of time of requests
  • Assist in the scheduling and stacking of trips in accordance with regulations, company policy and with an emphasis on efficiencies and cost reduction.
  • Receive trip requests via email and/or phone and build with detail and accuracy
  • Interact/communicate with customers internally and externally with a high degree of professionalism
  • Provide quotes for demo inquiries
  • Produce various reports for company departments and clients
  • Liaison with Director of Operations and/or Chief Pilot regarding new landing sites, safety and security policies, Temporary Flight Restrictions (TFRs)
  • Process Waivers for sporting events
  • Manage flight schedule with efficiency and knowledge of client ownership
  • Partner with the Director of Maintenance for availability of aircraft
  • Flight Follow all aircraft movements
  • Assist accounting with bill reconciliation
  • Overnight On Call responsibility
  • Crew briefing
  • Monitor crew duty time
  • Secure ground transportation for clients if applicable
  • Communicate aircraft schedule/movements with satellite bases
  • Provide electronic flight documentation to satellite crew members
  • File trip sheets/invoices
  • Support a teamwork atmosphere

Successful candidates have...
  • College degree preferred plus 1-3+ years of experience preferred
  • Flexibility to work on an as needed basis
  • A general knowledge of weather trends
  • Ability to lead a group of dispatchers and facilitate quick and concise communications at all levels
  • Able to adapt to change on a continual basis
  • Perform responsibilities with a high degree of accuracy
  • Ability to work in a fast-paced, demanding environment and demonstrate the ability to handle and prioritize multiple tasks effectively
  • Proficiency in Flight Scheduling software, as well as Microsoft Office Applications
