Initial placement within the salary range is based on an individual's relevant knowledge, skills, and experience. Essential Duties and Responsibilities

The following and other duties may be assigned as necessary:

  • Manages all charitable and in-kind donation requests. Evaluates the suitability of organizations that submit requests and determines which to fulfill. Ensures that all choices comply with Company goals, values and ethics.
  • Responsible for charitable donation and community events budgets. Serves as the point-of-contact for all community relations matters and works directly with community/event leaders.
  • Investigates and resolves matters of significance on behalf of executive management and represents the Company in handling complaints, arbitrating disputes or resolving grievances.
  • Enthusiastically supports, actively promotes, and demonstrates superior customer service in accordance with department and company standards and programs.
  • Responsible for drafting, preparing, typing or transcribing general correspondence, communications, reports, spreadsheets, databases, charts, graphs, manuals, presentations, calendars, agendas, itineraries, meeting minutes, and other documents as needed in the day-to-day operations of the organization.
  • Responsible for scheduling appointments and keeping a current calendar of events and activities including preparing and verifying travel arrangements, scheduling meetings, conferences and community or social engagements as needed.
  • Answers telephone and in-person inquiries, including accurately recording and communicating messages.
  • Files and organizes documents and materials.
  • Monitors, listens and responds to guests via telephone or social media while promoting customer loyalty and cultivating leads and sales. Continuous review of comments and timely responses required during and after normal office hours. Makes recommendations in service recovery decisions and comment responses on social media sites. Uses discretion with valuable complimentaries based on severity of guest complaint, within established guidelines.
  • Processes incoming and outgoing mail.
  • Provides support services to other managers and supervisors as requested or needed.
  • Attends community/charity events as a representative of the Company. Participates in events as needed.
  • Fosters and maintains positive working relationships with community/event leaders.
  • Orders and maintains inventories of company assets and supplies.
  • Communicates with vendors to ensure that all machines operate efficiently and continuously.
  • Attends all departmental and company training programs or meetings as directed.
  • Performs all job duties in a safe and responsible manner including keeping areas clean and free of safety hazards, debris and litter.
  • Provides office support which promotes business productivity and efficiency.
  • Responsible for ensuring the compliance with all regulatory compliance within area of responsibility and reporting potential issues to management.
  • Maintains strict confidentiality in all departmental and company matters.
  • All other duties as assigned.

Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Associate's degree (A. A.) or equivalent from two-year college or technical school; five years of applicable experience working with top-level executives; or equivalent combination of education and experience.
  • Must have advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
  • Must have excellent organization, communication, and problem resolution skills.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Must have the ability to interact with guests, staff and colleagues and resolve problems and conflicts in a diplomatic and tactful manner.
  • Must be able to maintain confidentiality and a high level of professionalism at all times.

Language Skills

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in in English may also be required.

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
