Job description

Position Description & Qualifications

The Executive Assistant provides comprehensive administrative and operational support to executive leadership within a government contracting environment supporting U.S. Navy programs. This position serves as a trusted partner to senior management by coordinating executive activities, managing communications, maintaining schedules, and ensuring efficient execution of administrative functions in a fast-paced, security-conscious environment. The Executive Assistant exercises sound judgment, maintains confidentiality, and supports the successful execution of Navy contracts by facilitating effective communication and organizational efficiency.

Must be able to obtain/transfer/maintain a U.S. Department of War (DoW) Secret security clearance.

In this role, you will:

  • Manage executive calendars, schedule meetings, and coordinate appointments across internal organizations, government stakeholders, subcontractors, and customers.

  • Coordinate travel arrangements, including airfare, lodging, rental vehicles, and travel authorizations in accordance with company policies and government travel regulations.

  • Prepare, edit, proofread, and format correspondence, reports, presentations, meeting agendas, and other executive-level documentat

  • Coordinate executive meetings, including conference room reservations, virtual meeting setup, distribution of meeting materials, recording action items, and tracking follow-up activities.

  • Serve as a primary administrative point of contact between executives, government customers, teammates, and external partners while maintaining professionalism and discretion.

  • Maintain electronic and hard-copy filing systems for contracts, correspondence, reports, and other business records in accordance with company document control procedures.

  • Support proposal activities, contract deliverables, and executive reporting by compiling information, organizing documentation, and tracking deadlines.

  • Assist with onboarding activities for new employees, including scheduling orientation activities and coordinating required documentation.

  • Process purchase requests, expense reports, invoices, and office supply procurement using company financial and procurement systems.

  • Coordinate company events, customer visits, leadership meetings, and program reviews.

  • Maintain distribution lists, organizational charts, and executive contact information.

  • Track action items and executive taskings to ensure timely completion and provide status updates as required.

  • Support compliance with company policies, security requirements, and government regulations regarding sensitive information and controlled documentation.

  • Perform additional administrative and operational support duties as assigned.

To be successful in this role, you will have:

  • The ability to obtain and maintain a DoW Secret security clearance.

  • U.S. citizenship required.

  • An Associate's degree in Business Administration, Management, or a related field, or equivalent combination of education and 3 years of experience.

  • or a High School Diploma/GED and 5 years of experience.

  • 5 years of progressively responsible executive or administrative support experience.

  • To be able to support on-site at the Arlington, VA office up to 5 days a week.

  • Experience supporting senior managers, directors, or executive leadership.

  • Excellent written and verbal communication skills.

  • A strong organizational skills with exceptional attention to detail.

  • Demonstrated ability to prioritize multiple assignments and meet competing deadlines.

  • High level of professionalism, discretion, and confidentiality.

  • Proficiency with Microsoft Office 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.

  • Experience using Excel to track/organize tasking or equivalent software.

  • Experience coordinating meetings and maintaining executive calendars.

  • The ability to work independently with minimal supervision.

  • The ability to travel 10%.
