Overall Responsibilities:

The Executive Administrator and Board Liaison position performs a wide variety of administrative tasks to support the work of the President/CEO and is responsible for coordinating all organizational activities that relate to the Bosma Enterprises’ Board of Directors. The Executive Administrator will also coordinate Board meetings, events, and/or special projects at the direction of the President/CEO. This position will also be responsible for writing event scripts, outreach speeches, and other communications as assigned. Additionally, the position will work to assist the VP of External Affairs with the development and deployment of external communications. Some travel will be required.


Education and Experience:

Bachelor’s degree with a minimum of two years’ experience as an administrative assistant or communications professional preferred. Prior experience with Executives and Board of Directors preferred. Experience could be considered in lieu of education.

Job Duties and Responsibilities:
  • Handle administrative tasks for the President/CEO including: maintaining a weekly schedule, preparing agendas and meeting summaries, managing itineraries and booking travel arrangements, research and track information, and handling important communications
  • Serve as liaison on all Board and committee meetings
  • Coordinate Board engagement and development, including tracking individualized participation and records for each board member through the Board portal
  • Coordinate new Board orientation process and packets
  • Prepare communications to Board as directed by President/CEO
  • Maintain official minutes of the full Board of Directors (BoD) meetings and records of committee proceedings
  • Responsible for sending out all packets (agenda and minutes) before each Committee meeting
  • Prepare for BoD meetings and all Committee meetings including: taking notes, coordinating agendas, ordering refreshments, booking conference rooms, and coordinating with IT for projectors or video conferencing
  • Assist President/CEO and VP of External Affairs with daily/weekly/monthly communications
  • Create and modify documents and presentations for internal and external use
  • Maintains professional behavior and respects confidential information
  • Manage small events at the request of the President/CEO
  • Communicate in a friendly and professional manner with a wide variety of people, including executive and senior level management, employees, members of the Board of Directors, vendors, customers, donors, and the media.
  • Ability to research information, seek out resources, and accomplish tasks without a great deal of supervision.
  • Complete special projects as needed and other administrative support tasks as assigned.
