EXECUTIVE ADMINISTRATIVE ASSISTANT - CONFIDENTIAL
BASIC FUNCTION
To provide administrative support in all operational matters to the Superintendent so that he/she may devote maximum attention to the central problems of education and educational administration.
EMPLOYMENT CLASSIFICATION
This is a confidential classification. This person is employed in this assignment as an hourly employee.
JOB DESCRIPTION
โ€ข Serves as administrative assistant to Superintendent; performs a variety of assigned administrative duties, following up on administrative assignments and communicating directives to staff.
โ€ข Completes correspondence and memos independently or from oral instructions;
โ€ข Receives and greets public and staff personally or by telephone; answers inquiries; attempt to resolve complaints/problems when appropriate; makes appropriate referrals;
โ€ข Schedule appointments, schedule meetings and maintains calendar;
โ€ข Reviews and routes incoming mail; establish and maintain filing systems;
โ€ข Updates board policies for board approval; act as information source for district policies and procedures;
โ€ข Prepares drafts of Board agenda and back up material; finalize and post;
โ€ข Attends and takes official minutes of board meetings;
โ€ข Drafts resolutions for board approval;
โ€ข Prepares yearly CBEDS report;
โ€ข Monitors filing of Form 700 for board members, administrative staff and management;
โ€ข Maintains interdistrict transfer requests;
โ€ข Processes appropriate documents/letters relating to student expulsions (notice of hearing, notice of action, notice to extend suspensions);
โ€ข Assists in preparation of annual audit;
โ€ข Maintains confidentiality on all district matters
โ€ข Others duties as assigned.
QUALIFICATIONS
โ€ข High school diploma
โ€ข Three to five years of successful office experience.
โ€ข Demonstrated proficiency in using word processing and data base programs on a personal computer including speed and accuracy.
