AFL is seeking an Executive Assistant to become an essential part of AFL’s dynamic US Services business, with an opportunity to make a real impact on our organization's success.

Job Summary:

The Executive Assistant to the President of US Services serves as a trusted partner and key member of the Services leadership team. This role is responsible for providing high-level administrative and operational support, managing complex schedules and communications, coordinating executive meetings and events, and handling confidential information with the utmost discretion. The Executive Assistant enables the President and senior leaders to focus on strategic business priorities by ensuring the efficient management of administrative, logistical, and organizational activities.

Responsibilities:

  • Manage complex calendars, meeting schedules, and travel arrangements for the President of US Services and other designated members of the leadership team.
  • Coordinate domestic and international travel, including itineraries, accommodations, expense reporting, and travel documentation.
  • Monitor and manage Outlook calendars, meeting requests, email correspondence, and administrative workflows on behalf of executive leadership.
  • Prepare, review, and process expense reports and other business-related documentation in a timely and accurate manner.
  • Plan, coordinate, and support major US Services leadership events, including quarterly business reviews, annual summits, leadership meetings, and strategic planning sessions.
  • Organize and manage meetings for executive, finance, accounting, and strategic leadership teams, including scheduling, logistics, materials preparation, and follow-up activities.
  • Coordinate catering, meeting space reservations, technology requirements, and related event logistics.
  • Draft, proofread, and distribute professional correspondence, presentations, reports, and other business communications, including confidential and sensitive materials.
  • Serve as a liaison between executive leadership, employees, customers, vendors, and other business stakeholders.
  • Support general administrative activities including procurement of office supplies, business cards, shipping and receiving, passport and visa documentation, and other operational needs.
  • Maintain organized records, files, and confidential business information while ensuring appropriate document retention and security practices.
  • Anticipate executive needs, proactively identify issues, and implement solutions to improve efficiency and effectiveness.

Qualifications:

  • Bachelor's degree with a minimum of five (5) years of executive administrative experience; or an Associate degree with eight (8) or more years of progressively responsible Executive Assistant or administrative support experience.
  • Demonstrated experience supporting senior executives in a fast-paced corporate environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and related business applications.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Exceptional verbal and written communication skills with the ability to interact professionally at all levels of the organization.
  • Strong presentation development, editing, and business writing capabilities.
  • Ability to read, analyze, and interpret business documents and communications.
  • Proven ability to exercise sound judgment, discretion, and professionalism when handling sensitive and confidential information.
  • Detail-oriented with excellent time management, planning, and problem-solving skills.
  • Ability to work independently, anticipate needs, and adapt to changing business priorities.
  • High level of integrity, professionalism, and commitment to maintaining confidentiality.
