About The Position

The Chief Executive Assistant supports the Founder of the Alice L. Walton Foundation, Alice L. Walton School of Medicine, Art Bridges Foundation, Crystal Bridges Museum of American Art, the Momentary, and Heartland Whole Health Institute. The Chief Executive Assistant oversees a diverse range of responsibilities spanning multiple philanthropic entities, including property and calendar management, information technology coordinator, high-touch personal services, and various special projects. The position requires a high level of discretion, judgement, and emotional intelligence, exceptional organizational skills, creative thinking, strong problem solving, and the ability to manage complex, confidential matters with excellence and diplomacy. Collaborating closely with the President of Art + Wellness Enterprises and the President's assistant, the Chief Executive Assistant supports an efficient workflow by proactively managing multiple priorities, including day-to-day operations, calendar coordination, and executive and personal support duties.

Essential Duties and Responsibilities

Executive Calendar/Scheduling Management

  • Manage a complex, high-volume, dynamic calendar spanning professional, philanthropic, and personal commitments.
  • Serve as the primary liaison for all scheduling requests and engagements of the Founder.
  • Coordinate internal and external meetings and events.

Communications

  • Draft and review complex, sensitive, and confidential correspondence and ensure timely, appropriate dissemination.
  • Represent the Founder in interactions via phone, email, and in person, exercising discretion and professionalism.
  • Draft complex and sensitive correspondence on behalf of the Founder, ensuring clarity, accuracy, and appropriate tone. Ensure timely and confidential distribution of communications to appropriate audiences.
  • Review incoming materials, identify key issues, and brief the Founder accordingly. Prepare responses or delegate as needed.

Travel

  • Manage and execute complex domestic and international travel arrangements for the Founder, encompassing both professional obligations and personal commitments.
  • Arrange and prepare detailed itineraries for domestic and international travel schedules, which may include both business and personal trips.

General Other Duties

  • Build and maintain processes including approvals, document flow, and follow ups.
  • Provide oversight and leadership to the administrative team members within the President's Office.
  • Develop and maintain strategic partnerships and relationships.
  • Perform other duties and responsibilities as assigned to support evolving organizational needs.

Qualifications and Requirements

  • Bachelor's degree required, advanced degree or equivalent experience a plus.
  • 10+ years of experience in executive support, project coordination, or operations. Experience working in non-profit, startups, and/or health care organizations preferred.
  • Strong organizational skills with the ability to multitask, prioritize, and think critically in a demanding environment where change is constant.
  • Demonstrated competence in tracking, coordinating, and follow-up of competing priorities and projects.
  • Excellent communication skills, including business correspondence, presentations, and technical reports; strong attention to detail with demonstrated proficiency in grammar, spelling, proofreading, and formatting.
  • Excellent customer service and interpersonal skills, with the ability to work with individuals in various roles and responsibilities.
  • High level of professional integrity and the ability to manage sensitive and confidential information with discretion.
  • Ability to work independently and collaboratively as part of a team.
  • Skilled in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Must be highly flexible and service-oriented, with a willingness to support evening and weekend needs; availability to respond to urgent requests after hours as needed.
