Job description

Robert Half is seeking an Executive Assistant to support daily office operations and provide high-quality administrative assistance at our client's site in the Philadelphia area. This role is ideal for someone who is organized and confident managing documents, correspondence, and front-office interactions in a business setting. The successful candidate will help keep records accurate, support document preparation, and ensure the office runs smoothly in a fast-paced environment.


Responsibilities:

  • Support day-to-day administrative activities for the office and assigned staff, helping maintain efficient workflow and consistent organization.
  • Draft, edit, format, and review business and legal documents to ensure accuracy, clarity, and a well-presented format.
  • Build and update spreadsheets, reports, and presentation materials to support operational and team needs.
  • Coordinate file reviews on a regular basis and prepare inactive materials for storage or closure when appropriate.
  • Produce letters, forms, and other written materials from dictated notes with a high level of accuracy.
  • Welcome clients and visitors, creating a courteous and positive first impression for everyone entering the office.
  • Maintain confidential records and contribute to special administrative assignments while handling sensitive information with discretion.

The ideal Executive Assistant candidate should have a Bachelor's degree or equivalent combination of education.


Other requirements for the Executive Assistant position include and are not limited to:

  • 2+ years of Executive Assistant, Administrative Assistant, or Office Administration experience
  • Proficiency in Microsoft Office, especially Microsoft Word
