This job provides professional level administrative support to the Executive(s), department(s) or function(s) assigned by performing a variety of tasks such as typing, sorting, filing, photocopying, maintaining calendars, booking travel, submitting expense reports and ordering supplies. Creates documents such as memos and other correspondence and generates reports using Microsoft Excel, Word, PowerPoint and other software as needed. Serves as a point of contact for the department answering calls, relaying messages, and escalating issues to the appropriate person / group. Manages projects and organizes events such as lunches and meetings.

Required -5 years experience in a professional administrative role supporting an executive level leader

  • Must have computer skills and dexterity required for data entry and retrieval of information.
  • Effective verbal and written communication skills and the ability to present information clearly and professionally.
  • Must be proficient with Windows-style applications, various software packages specific to role and keyboard.
  • Strong interpersonal skills.
  • Strong organizational skills; managing a variety of tasks at once with frequent interruptions and minimal supervision.
  • Ability work with and experience working with confidential information.
  • Ability to move throughout and between facilities.

    Job Duties

    • Provides administrative support to the Executive, department or function through professional-level administrative duties.
    • Performs travel, calendar and meeting management including the coordination of agendas and meeting minutes.
    • General office management including but not limited to maintaining kitchen supply stock, and other office supplies.
    • Generates and maintains documents, expense/mileage and other reports, and correspondence and performs other duties related to computer programs (such as Kronos for time keeping assistance) and systems support for the department.
    • Manages special projects for the department.
    • Serves as a point person to those outside the department.
    • Service Milestone Pins for the department (all regions).
    • Other related duties as required.

    Normal routine involves no exposure to blood, body fluid or tissue and as part of their employment, incumbents are not called upon to perform or assist in emergency care or first aid.
