Job description

Executive Assistant

As an Executive Assistant, you will serve as a trusted support for at least one Executive Leadership Team Member(s), including but not limited to the Chief People and Culture Officer (HR) at Blackbaud. This is a key role to help maximize executive effectiveness through thoughtful calendar management, proactive communication, operational coordination, meeting preparation, event support, and polished stakeholder engagement. This highly visible role requires strong judgment, agility, discretion, and the ability to represent Blackbaud's brand with professionalism and warmth when engaging with clients, executives, senior leaders, employees, and external partners.

This role is based in Charleston, South Carolina and follows a hybrid work model. To best support executive schedules, customer visits, leadership meetings, company events, and other in-person engagements, the successful candidate will work onsite a minimum of three days per week.

What you'll do:

Understand the strategic objectives of the business and how the Executive's time, focus, and presence need to align with them.

Manage the Executive's calendar and coordinate internal and external meetings, events, travel, and key business engagements with thoughtful prioritization, accuracy, and preparation.

Serve as a professional, highly visible representative of Blackbaud when supporting executive meetings, customer visits, leadership events, and interactions with clients, senior leaders, employees, visitors, and external stakeholders.

Prepare read-ahead materials, daily and weekly briefings, meeting notes, agendas, and follow-up items to help the Executive stay organized and prepared.

Help manage and prioritize the Executive's daily workload, including emerging issues, key priorities, administrative needs, and time-sensitive requests.

Arrange travel and logistics for all Executive engagements, including reservations, transportation, accommodation, itineraries, and related details.

Complete and submit expense reports in a timely manner and in accordance with company policies.

Communicate with internal and external stakeholders on behalf of the Executive as directed, using sound judgment, discretion, and professionalism.

Oversee the Executive's correspondence as directed, including drafting, editing, proofreading, and preparing communications with a high level of accuracy.

Conduct research and assist with the preparation of reports, presentations, meeting materials, and executive-level communications.

Support the planning and execution of team celebrations, engagement activities, leadership meetings, employee experiences, company events, and organization-wide initiatives that may require additional in-person coverage.

Collaborate closely with other Executive Assistants, Facilities, IT, Communications, Events, and business partners to drive efficient execution and shared ownership of tasks.

Leverage AI tools, including Microsoft Copilot, Claude, or equivalent platforms, to improve productivity, streamline administrative work, summarize information, prepare materials, and identify more efficient ways of working.

Make recommendations to improve operations, executive support processes, office workflows, and overall team effectiveness within established guidelines.

Other duties as assigned.

What you'll bring:

A minimum of 5 years of experience as an Executive Assistant, Executive Administrative Assistant, or similar senior administrative support role, with 10 or more years preferred.

Experience providing seamless support to a C-suite or senior-level executive in a fast paced business environment, with the ability to anticipate administrative, operational, and logistical needs.

Must be based in or near Charleston, South Carolina, and able to work a hybrid schedule with in-person presence at least three days per week based on executive schedules, client visits, leadership meetings, and company events.

Exposure to leveraging AI at work is required, including familiarity with Microsoft Copilot, Claude, ChatGPT, or similar platforms and a strong interest in applying these tools responsibly to improve productivity, communication, organization, and workflow efficiency.

Excellent judgment and ability to maintain a high level of confidentiality, discretion, and professionalism.

Ability to work in a deadline-driven, fast-paced environment with excellent prioritization, organization, and time management skills.

Agile, adaptable, and comfortable navigating change, ambiguity, shifting priorities, and evolving business needs with strong learning agility.

Self-starter with an operational mindset, able to work independently while collaborating effectively across stakeholders and maintaining proactive, transparent communication that ensures no surprises for executive leaders.

Proven ability to partner professionally with customers, executives, senior leaders, board members, employees, external partners, and assistants to drive shared outcomes.

Detail-oriented, intellectually curious, and able to demonstrate sound business acumen.

Strong problem-solving and project management skills with an efficient, results-oriented, and can-do approach.

Proactive and positive communication style, with strong oral and written communication skills.

Ability to proofread and edit documents, presentations, and correspondence with a high level of accuracy.

Strong executive presence and ability to represent Blackbaud's brand with warmth, confidence, discretion, and professionalism.

Prior experience with Microsoft products including Outlook, PowerPoint, Excel, Word, Teams, and OneNote required.

Experience with Workday, Concur is a plus.

The starting base pay is $67,400.00 to $90,700.00. Blackbaud may pay more or less based on employee qualifications, market value, Company finances, and other operational considerations.
