About the Role:
Budget Watchers LLC is seeking a highly organized, professional, and dependable Executive Assistant to provide high-level administrative and operational support to our Executive Leadership. The ideal candidate is proactive, detail-oriented, discreet, and able to manage multiple priorities while maintaining a high level of professionalism and confidentiality. This position will work closely with Executive Leadership, staff, community partners, and other stakeholders to help ensure executive priorities, projects, meetings, and follow-up activities are effectively coordinated.
Responsibilities:
  • Manage Executive Leadership’s calendar, meetings, appointments, site visits, and scheduling priorities.
  • Prepare professional correspondence, reports, presentations, spreadsheets, agendas, and executive materials.
  • Coordinate leadership and management meetings and document meeting minutes and action items.
  • Track Executive Leadership directives, assignments, projects, and deadlines and follow up with responsible parties.
  • Serve as a professional liaison between the Executive Leadership, leadership team, staff, vendors, community partners, and other stakeholders.
  • Coordinate special projects and organizational initiatives assigned by the Executive Leadership.
  • Maintain tracking systems for organizational deadlines, meetings, contracts, trainings, projects, and other priorities.
  • Conduct research and prepare summaries and briefing materials.
  • Assist with company meetings, trainings, employee recognition activities, community events, and site visits.
  • Maintain confidential executive records, correspondence, reports, and documents.
  • Assist with executive expenses, invoices, purchasing documentation, travel, and other administrative needs.
  • May supervise staff and/or clients as needed.
  • Perform Quality Assurance task as needed.
  • Maintain the highest level of discretion when handling confidential employee, client, financial, and organizational information.
  • Work flexible hours as required by program schedules.
Requirements:
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Minimum of 3–5 years of progressively responsible administrative experience.
  • Previous experience supporting executive leadership, or management team preferred.
  • Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and electronic document-management systems.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, proofreading, and follow-up skills.
  • Ability to independently manage multiple priorities and deadlines.
  • Ability to maintain confidentiality and exercise sound professional judgment.
  • Ability to build strong relationships with community stakeholders.
  • Must enjoy working with individuals with disabilities.
  • Must obtain and maintain a current CPR Card.
  • Employment is contingent upon successful completion of a background and fingerprint check.
