Position Overview

The Executive Assistant (EA) provides executive support to our Chief People Operations Officer (CPO), Chief

Information Officer (CIO), and Chief Financial Officer (CFO) and serves as the primary point of contact for internal and external interactions. The EA serves as a liaison to the Leadership team by exercising informed judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills and the

ability to prioritize multiple important tasks. The EA works independently on assignments and projects, from conception to completion, and works under pressure at times to handle a wide variety of activities and confidential

matters with discretion. The EA must also be skilled at building presentations in Power Point.

The EA must be highly organized and very detail-oriented, self-motivated, analytical, professional, capable of

managing a large workload and proficient in prioritizing tasks in a fast-paced corporate environment. The EA must

not only have the requisite technical skills to be a highly functioning professional business partner but must also

have strong emotional intelligence and soft skills required to support the COO and build trust with the entire team.


Essential Duties and Responsibilities: This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

• Embrace and operate within core values.

• Completes a variety of administrative tasks for the CFO, CPO, and CIO to include managing an extremely active

calendar of appointments; composing and preparing correspondence that is sometimes confidential; and

compiling documents for scheduled meetings.

• Plans, coordinates, and ensures the CFO, CPO, and CIO schedule is followed and respected. Provides

gatekeeper and gateway role, creating win-win situations for direct access to the CFO, CPO, and CIO time and

office.

• Works closely and effectively with the CFO, CPO, and CIO to keep them well informed of upcoming

commitments and responsibilities, following up appropriately.

• Provides a bridge for smooth communication between the CFO, CPO, and CIO and internal departments,

demonstrates leadership to maintain credibility, trust, and support with Senior Leadership.

• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the COO (as instructed),

including those of a sensitive or confidential nature.

• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters,

correspondence, emails, and other tasks that facilitate the CFO, CPO, and CIO ability to effectively guide the

company.

• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to

successful completion, often with deadline pressures.

• Manages a variety of special projects for the CFO, CPO, and CIO, some of which may have organizational

impact.


Education and Experience

• Bachelor’s degree and/or equivalent work experience required.

• Minimum of 5 years of administrative experience supporting C-Level Executives.

• Proven work experience as a Senior Executive Assistant reporting directly to a member of the Senior

Management team.

• Experience exercising discretion and confidentiality with sensitive company information.
