Executive Assistant to the Chief Marketing & Communications Officer (CMCO)

The Executive Assistant to the Chief Marketing & Communications Officer (CMCO) will serve as a primary strategic and administrative resource for the CMCO through project management, operational, and administrative duties within Marketing and Communications. This position independently manages various tasks that include individual and department projects, delegations, and timelines. The Executive Assistant role will also provide administrative support to all CMCO's departments including Marketing, Communications, Creative Services, and Digital. This position is successful when proper attention is given to the overall effectiveness and efficiency of the CMCO's day-to-day workload.

This is an onsite role in Franklin, TN.

Here's some of what you will be doing...

  • Effectively and efficiently handle administrative duties and provide project management coordination for the CMCO, partnering to ensure time and focus is available for executive level responsibilities.
  • Assist the CMCO in managing terms and conditions of fully executed and active contracts. Proactively pursue contract renewal or changes as assigned.
  • Provide outstanding customer service. Act as the main point of contact for CMCO's directors and staff regarding both internal and external inquiries, appointments, and concerns. Proactively respond to inquiries and concerns; clearly and positively communicate solutions with exceptional follow through.
  • Effectively and efficiently route and answer questions not requiring CMCO's attention or time.
  • Effectively manage the CMCO calendar and schedule to ensure ample time for strategic planning.
  • Consolidate the budget of the CMCO's departments and end of month expense reporting actuals, working with them as requested by the CMCO. Develop a system and regularly keep CMCO updated regarding each director's budget and any issues that may arise.
  • Create engaging and informative presentations utilizing multimedia and technical tools.
  • Monitor and track department travel and training expenditures. Provide invoice management, approval tracking and filing of all Accounts Payable/Vendor invoices.
  • Assist CMCO and directors with adding new vendors to the accounting system.
  • Serve as the primary administrative resource for the CMCO including, but not limited to development of correspondences of both confidential and non-confidential matters, email and voicemail communication and other general administrative functions as needed. In addition, the successful candidate will help book meetings, document meeting/discussion highlights, coordinate schedules, and handle a variety of meeting logistics, as well as book travel for CMCO or her personnel as requested. Complete expense reports, tracking and turning in receipts, as well as code and process invoices for payments.
  • Partner with CMCO and HR to coordinate hiring of new Team Members including interview set-up and tracking of candidates through the process. Proactive assistance with onboarding new team members including setting up appropriate meet & greets, answering questions and training.
  • Coordinate team events and training such as team building/retreats, lunch & learn sessions, and holiday celebrations. Act as a liaison to notify/enroll team members in Human Resource led development training.
  • Help the CMCO and the CMCO's staff with the understanding and application of information contained in the K-LOVE Team Member Handbook, K-LOVE Security Guidelines and other K-LOVE policies, including when there are changes announced and implemented. Act as a trusted resource for accurate and current knowledge of ministry-wide norms and protocol.
  • Perform other duties as assigned.

Here's some experience and skills we are seeking...

  • Associate's degree, or combination of education/training with relevant experience.
  • Project management experience with a proven ability to plan, organize, lead and direct projects.
  • Minimum of 4 plus years of working as an executive assistant supporting an executive leader in an administrative/project management capacity.
  • Possess excellent interpersonal skills with the ability to be relatable and develop sincere business/ministry relationships.
  • Strong versatile written and verbal communication skills.
  • Strong organizational and administrative skills. Ability to demonstrate dependability; can be trusted to follow-through and follow-up. Ability to manage multiple tasks & priorities and pay attention to details while keeping the big picture in mind.
  • Demonstrate mature emotional intelligence, including composure, handling tension/stress appropriately and establishing rapport with others.
  • Demonstrated ability with creativity, innovative approaches and critical thinking.
  • Proven experience with solving problems, analyzing issues and making sound decisions.
  • Budget management experience; experience establishing and tracking budgets.
  • Strong computer skills: advance knowledge of Microsoft Office 365 products (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, SharePoint), Zoom and Adobe Photoshop or equivalent media editing tools.
  • Demonstrated ability to work independently; establishing and meeting performance/ministry goals.
  • Exhibit versatility and flexibility. Regularly adapts to change while maintaining a positive attitude and high productivity.
  • Demonstrated ability to represent ministry and executive staff professionally and maintain confidentiality.
