Job description

Clerical Assistant

Provides clerical services to the Principal. Position responsibilities include greeting and directing vendors, employees, students, parents, community members, etc.; answering communications from staff, applicants, and parents (e-mails, phone calls, letters); coordinating food preparation and delivery or pickup for Principal and school meetings; preparing and following up on workshop/conference requests and vendor contracts; scheduling appointments and meetings for Principal; preparing requisitions for materials and keeping records of same; notarizing documents for administration as needed; preparing correspondence, reports, brochures, spreadsheets, and PowerPoint presentations; distributing building and classroom supplies as directed. Other duties as assigned.

Essential skills and experience include experience as an executive assistant or equivalent, high school diploma or equivalent, proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, knowledge of basic office procedures and operation of office machines/equipment, discretion and strict confidentiality on student and personnel matters, strong communication and interpersonal skills, detail-oriented, and ability to prioritize.

Valued but not required skills and experience include experience working in a high school setting, associate or bachelor's degree preferred.

Physical demands include standing, walking, sitting, using hands to finger, handle, or feel objects, reaching with hands and arms, talking and hearing. Employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Work environment is usually minimal noise.

Terms of employment include a 12-month work year, starting wage between $26.00 - $27.30/hour based on education and verified experience, Illinois Municipal Retirement Fund (IMRF) pension, medical, dental, life, and vision insurance, $2,500 annual tuition reimbursement, 17 paid holidays, 10 paid sick, 5 personal and 15 vacation days, 30-minute unpaid lunch, two 15-minute paid breaks, other fringe benefits as provided by the current Work Rules & Regulations for Administrative Support Staff, and annual performance evaluation in accordance with the current Work Rules and Board policy.
