Work Schedule: Monday–Friday, 8:00 AM – 5:00 PM - 100% Onsite

Our client is a well-established nonprofit senior living organization located on the northside.

 

Job Description:

Our client is seeking an experienced Executive Assistant to provide high-level administrative support to executive leadership, with primary responsibility supporting the CEO, CFO, and Board of Directors. This role requires exceptional organization, professionalism, and the ability to manage competing priorities in a fast-paced environment.

This is a highly visible position that offers the opportunity to become a trusted partner to senior leadership while coordinating board meetings, preparing executive materials, managing complex schedules, and supporting strategic initiatives across the organization.

 

Key Responsibilities:

  • Provide executive-level administrative support to multiple C-suite leaders.
  • Coordinate Board of Directors meetings, including scheduling, agenda preparation, and meeting logistics.
  • Record and distribute accurate meeting minutes.
  • Manage complex calendars, appointments, and executive travel as needed.
  • Prepare presentations, reports, correspondence, and other executive materials.
  • Handle confidential information with the highest level of discretion.
  • Serve as the primary point of contact for executives, board members, employees, residents, and external partners.
  • Prioritize multiple deadlines while adapting to changing business needs.
  • Assist with special projects and organizational initiatives.
  • Support occasional early morning or evening board meetings when necessary.

 

Qualifications:

Required:

  • Minimum of 3 years of Executive Assistant experience supporting C-suite executives and/or a Board of Directors.
  • Experience coordinating board meetings, preparing agendas, and taking detailed meeting minutes.
  • Advanced Microsoft Office skills, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities with exceptional attention to detail.
  • Typing speed of 75–80+ words per minute.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Professional, polished, and customer-focused approach.

Preferred:

  • Experience working within a nonprofit or healthcare organization.
  • Familiarity with UKG (Ultimate Kronos Group).
  • Previous experience supporting executive leadership within an active Board governance environment.
