CENTURY 21 Americana has an exciting opportunity for a Personal / Executive Assistant to the President of our growing company. The Assistant will work closely with the President to ensure his day-to-day is structured, coordinated, and organized, enabling him to maximize his productivity and to carry out his job effectively.
Responsibilities:
  • Handling and organizing a large influx of incoming emails, calls, and inquiries
  • Managing CEO’s schedule of daily training, meetings, company events, speaking engagements
  • Coordinating meetings, setting agenda, preparing presentation materials, tracking and distributing meeting minutes
  • Streamlining administrative processes to ensure the Leadership team consistently operates at the highest level of efficiency
  • Perform real estate assistant duties, including showing homes, transaction coordination, setting appointments, and marketing. MUST have an active license!
  • Carrying out advanced internet research to provide detailed information regarding potential clients and business partners
  • Run errands as requested
  • Coordinating travel arrangements, including flights, accommodation, and ground transportation, and creating itineraries
  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf
  • Prepare presentations on behalf of the CEO for meetings and speaking engagements
  • Assisting in writing and transcribing speeches
  • Performing minor accounting and bookkeeping duties
  • Coordinating executive meetings, including scheduling, sending reminders, and organizing catering 
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department

Qualifications:
  • Must have an active Nevada Real Estate license
  • Must have a minimum of 2 years of real estate experience
  • Spanish fluency required due to regular communication with Spanish-speaking clients
  • Exemplary planning and time management skills
  • Exceptional attention to detail
  • Ability to interact with high-profile clients and executives
  • At least 3 years of experience as a personal or administrative assistant
  • Outstanding verbal and written communication skills
  • Strong organizational skills
  • Ability to treat confidential information with appropriate discretion
  • Strong interpersonal skills
  • Proactive approach to problem-solving
  • Ability to act as a gatekeeper and escalate relevant information to the executive as needed
  • Skilled in the use of standard office equipment
  • Ability to work effectively with minimal supervision
  • Strong computer skills with familiarity with Mac and the Google Suite
  • Exceptional multitasker with experience of working at a very fast pace while prioritizing conflicting demands
  • Excellent communicator with the ability to connect with people and build relationships quickly
  • A good level of organizational skills and discretion when dealing with confidential company matters
  • Always available, mobile, and willing to travel
