Job description

Provide administrative and logistical support and coordination to an Executive Officer of the Bank.
Accountabilities:
Responsibilities/Duties/Function/Tasks:

  • Provides direct administrative support to an Executive or Executive Team member. May serve as a liaison between executive level leaders and internal staff and external contacts; communicates instructions and directives.
  • Prepares correspondence and reports of a highly technical and/or confidential nature.
  • Manages assigned executive's schedule. Discerns the purpose of requested meetings, determines urgency and informs executive of planned meetings and scheduling issues.
  • Organizes and expedites flow of work through the office of the executive; initiates follow-up action as appropriate; organizes and maintains correspondence and records.
  • Manages and organizes agendas, meetings and calendars for executive level employees and division/departmental leaders.
  • Prepares meeting materials for various committees on a weekly or monthly basis, depending on division/departments' needs.
  • Provides back up administrative support as needed for other internal meeting preparation and execution, including:
    • Gathering and disseminating meeting materials
    • Meeting set-up preparation
    • Uploading documents to SharePoint and/or Diligent as needed
  • Prepares special reports by gathering, summarizing and analyzing data; conducts limited technical/financial analysis; prepare and monitor Divisional budgets and expenses.
  • Manages departmental internal controls and regulatory issues.
  • Performs other duties and projects as assigned.
Qualifications:
  • Two-year Associates degree or equivalent experience
  • Five years of executive level administrative experience; financial services background helpful
  • Strong proficiency in Adobe Professional, Nuance, Microsoft Word, Excel, PowerPoint and SharePoint. Workday experience is a plus
  • Excellent interpersonal and communication skills
  • Ability to handle sensitive and confidential matters appropriately
  • Effectively multi-task and prioritize activities

Compensation Range:
Annual Salary: $65,540.00 - $77,829.00
This salary range represents the Bank's good faith and reasonable estimate of possible compensation at the time of hire. Offer to be determined by selected applicant's education, experience, knowledge, skills & abilities, as well as internal equity and alignment with market data. This role is also eligible to participate in the Bank's annual incentive plan.
