Job description

PrideStaff on behalf of a client in Fort Lauderdale is seeking an experienced and professional Executive Assistant who will provide critical administrative and clerical support to the CEO and CFO, ensuring smooth day-to-day operations. This role requires exceptional organization, strict confidentiality, and the ability to manage multiple priorities. 
Key Responsibilities:

  • Manage the CEO's calendar, scheduling, and meeting priorities
  • Prepare board packets, agendas, minutes, and track action items
  • Draft professional correspondence, memos, and announcements on behalf of the CEO.
  • Coordinate travel, transportation, and event logistics.
  • Serve as the primary contact for office visitors, phone calls, deliveries, and mail
  • Handle all phone calls, typing assignments, and guest interactions with high professional standards and courtesy.
  • Monitor equipment inventory and order office supplies.
  • Assist with bi-weekly payroll processing and HR functions (e.g., new hire orientation).
  • Log incoming checks/cash in the finance database and confirm deposits
  • Assist with annual audits, monitoring, and fundraising activities
  • Serve on the disaster team during hurricanes or other agency emergencies.
  • Maintain the strictest confidentiality of all materials; violations may result in immediate dismissal.


Qualifications:

  • Bachelor’s degree in Business Administration preferred, or 4 years of equivalent office experience.
  • Proficiency in Outlook, Office 365, databases, Zoom, and Dropbox. Ability to type 50+ WPM and format spreadsheets with basic formulas.
  • Strong knowledge of general office/accounting practices; ability to exercise independent judgment and discretion with fiscal tasks.
  • Excellent interpersonal skills, flexibility, and a team-player attitude.
