Introduction

Overview

The Executive Assistant to the CEO provides high-level administrative support to ensure the CEO's office operates efficiently and effectively. This role requires exceptional organizational skills, the ability to manage confidential information with the utmost discretion, and the ability to manage complex and often competing priorities in a fast-paced environment. The Executive Assistant acts as a trusted liaison between the CEO and internal/external stakeholders, ensuring seamless communication and coordination.

Our flexible/hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Salisbury, NC.

Applicants must be currently authorized to work in the United States on a full-time basis.

Responsibilities

Calendar & Meeting Management

  • Organize and manage meetings, appointments, and travel itineraries for the CEO.
  • Manage routine calendar invites (e.g., 1:1s, forum holds, recurring meetings).
  • Prioritize time-sensitive engagements, prevent scheduling conflicts, and apply time management strategies (e.g., time blocking, flex & reflection time).
  • Attend weekly stand-up and stand-down meetings with Strategy, Portfolio & Governance (SPG) team to review priorities for the week, month, and quarter.

Communication & Correspondence

  • Screen calls, emails, and other correspondence on behalf of the CEO.
  • Draft and proofread email responses as needed, escalating to the SPG and Communications when appropriate.
  • Act as a liaison between the CEO and internal/external stakeholders to ensure timely and accurate communication.
  • Creates documents and spreadsheets using Microsoft Office programs.

Request & Information Management

  • Intake requests for the CEO's time, including agendas, presentations, and context materials, and document for weekly priority discussions.
  • Organize files, reports, and records (e.g., maintain topical documents in OneDrive or preferred format).
  • Ensure timely submission and coordination of reports and compliance documents.

Event & Logistics Coordination

  • Coordinate logistics and planning for USLT meetings, offsites, and other executive sessions, including providing support to international executives when they are stateside.
  • Serve as the primary point of contact for uploading meeting materials for executive meetings that the CEO holds/attends.
  • Assist with general office management tasks (e.g., catering, executive kitchen, pool car scheduling) in collaboration with the administrative team.

Travel & Expense Management

  • Book flights, accommodations, and transportation for CEO travel.
  • Prepare detailed travel itineraries and manage expense reporting.
  • Additional job duties may be assigned as needed to meet the needs of the business such as special projects & programs.
Requirements
  • HS diploma & Post-Secondary Education in business-related field; equivalent training/certifications/experience considered; Associate or Bachelor's degree preferred.
  • Proven experience (4+ years) as an Executive Assistant or similar role supporting senior executives.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., OneDrive, Teams).
  • Ability to work independently and as part of a team in a dynamic environment.
  • Ability to travel as needed to support executive team, events & meetings.

NC Salary Range: $63,440-$95,160

Actual compensation offered to a candidate may vary based on their unique qualifications and experience, internal equity, and market conditions. Final compensation decisions will be made in accordance with company policies and applicable laws.
