Job description

Responsibilities

We are seeking an Executive Assistant to provide senior-level administrative support to our Executive Vice President, Chief People Officer, and the People Operations team.

This role requires a high level of discretion, judgment, and professionalism in handling sensitive and confidential information, while managing competing priorities in a fast-paced environment. The Executive Assistant serves as a key partner to the CPO, ensuring day-to-day operations run smoothly and priorities are executed with accuracy, responsiveness, and attention to detail.


Responsibilities:

  • Manage and prioritize the CPO’s calendar, including scheduling, conflict resolution, and alignment to evolving priorities
  • Coordinate meetings end to end, including scheduling, preparing agendas and materials, capturing notes, and tracking follow-ups
  • Prepare and format presentations, reports, and other materials; draft and send communications on behalf of the CPO
  • Support leadership meetings, offsites, and team events, ensuring logistics, materials, and coordination are handled seamlessly
  • Coordinate travel arrangements as needed
  • Process expenses, invoices, and administrative requests with accuracy and timeliness
  • Maintain organized files, records, and shared resources to ensure information is current and easily accessible
  • Serve as a point of coordination for incoming requests, helping route, track, and follow up to ensure completion
  • Support employee-related administrative processes and documentation
  • Assist with onboarding and offboarding coordination to ensure a smooth experience for employees
  • Monitor workflows, deadlines, and recurring activities, following up as needed to keep work moving forward
  • Provide general administrative and operational support across People Operations

Qualifications
  • 5+ years of experience supporting senior leaders in an executive or administrative capacity
  • Strong organizational and prioritization skills with the ability to manage multiple requests and shifting priorities
  • High attention to detail and strong follow-through
  • Excellent written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Proactive and resourceful, with strong problem-solving skills
  • Ability to effectively partner with senior leaders and anticipate needs
  • Strong interpersonal skills with the ability to build relationships across teams
  • Strong judgment and ability to navigate ambiguity in a fast-paced environment
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
  • Experience working with HR systems (e.g., UKG) and workflow or ticketing tools (e.g., ServiceNow) is a plus
