Job description

We are looking for an Executive Assistant to provide high-level administrative support to senior leadership in Kalamazoo, Michigan. This Contract position will work closely with the Executive Director, Chief Defender, and Chief of Finance and Operations to keep priorities organized, communications streamlined, and daily operations running smoothly. The ideal candidate brings strong judgment, discretion, and the ability to manage competing demands in a fast-paced, detail-focused environment. This role is 100% onsite, M-F, 8am-5pm.


Responsibilities:

• Manage complex calendars for executive leaders, ensuring meetings, deadlines, and shifting priorities are coordinated efficiently.

• Organize domestic travel logistics, including itineraries, reservations, and schedule alignment for leadership team members.

• Prepare and coordinate executive meetings by confirming attendees, securing materials, and supporting smooth meeting flow.

• Maintain organized schedules and provide proactive administrative support to help senior leaders stay focused on key initiatives.

• Communicate with internal and external contacts in a clear and organized manner while handling sensitive information with discretion.

• Anticipate scheduling conflicts and resolve them quickly to minimize disruption to executive operations.

• Demonstrated experience supporting senior executives in an administrative or executive assistant capacity.
• Strong calendar management skills with the ability to handle multiple priorities and frequent changes.
• Proven ability to coordinate business travel and manage detailed itineraries accurately.
