- Manage the Creative Director's calendar, prioritizing key meetings, optimizing schedules, and coordinating across internal teams and external partners.
- Build and maintain strong relationships with internal administrative staff, cross-functional teams, vendors, and external stakeholders to facilitate scheduling and execution of meetings.
- Coordinate all logistics for in-person and virtual meetings, including agenda development, room bookings, materials preparation, and catering arrangements.
- Provide basic technical support as needed, including submission of IT requests and troubleshooting of remote or meeting-related issues.
- Administer Microsoft Teams channels, including creation, updates, and ongoing maintenance to support team collaboration.
- Oversee travel and expense administration, including monitoring budgets, exercising discretion in line with company policy, and ensuring responsible spend management.
- Prepare, submit, and reconcile travel and expense reports and corporate card statements in compliance with company policies.
- Manage the department's purchasing and procurement process (Buying Hub), including supplier onboarding, purchase order creation, and invoice tracking.
- Serve as a liaison across departments on behalf of the Creative Director and team, resolving inquiries and facilitating issue resolution.
- Support team culture by organizing celebrations, milestone moments, and engagement activities that foster a positive and connected environment.
- Lead and support departmental programming and special projects from planning through execution and evaluation, including developing project plans, timelines, and budgets.
- Build and manage project teams, coordinate resources, and develop detailed schedules and work plans to ensure alignment with priorities and deadlines.
- Monitor project progress, track deliverables, and provide status updates to stakeholders while maintaining quality control throughout the project lifecycle.
