NBCUniversal Global Distribution is responsible for the sales and distribution of NBCUniversal product to all forms of television and new media platforms in over 200 territories across the globe. This includes a rich library of more than 6,000 feature films and 170,000 television episodes, including current and classic titles, non-scripted programming, sports, news, long-form and short-form programming, and locally produced content from around the world.

ROLE OVERVIEW

We are seeking a highly organized and proactive Executive Assistant to support the VP of Sales and the EVP & General Manager for the Canadian TV Distribution business. This role is critical to the smooth operation of the leadership team and will focus on executive support, complex scheduling, travel coordination, expense management and day-to-day administrative effectiveness. 

This role is offered as a fixed-term contract through January 2027, with the potential to grow into a full-time opportunity beyond that. Any extension will reflect performance, business needs, and overall team priorities.

Salary Range: CAD 55000 to CAD 70000 / yearly

KEY RESPONSIBILITIES

Executive & Administrative Support

  • Manage complex and dynamic calendars for senior executives, including internal, external, and international meetings. Ensuring alignment with business priorities
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, visas, and detailed itineraries
  • Prepare and submit expense reports accurately and on time, in compliance with company policies
  • Handle confidential and sensitive information with discretion and professionalism
  • Act as a strategic point of contact and liaison between executives and internal/external stakeholders
  • Support sales leadership with meeting logistics, materials preparation, agenda development and follow-ups
  • Assist with scheduling client meetings, partner engagements, and industry events
  • Coordinate reservations and logistics for business meals, offsites, conferences, and team events
  • Track action items and proactively follow up to ensure timely completion where appropriate

Operational Excellence

  • Anticipate needs, identify potential issues, and proactively propose solutions
  • Maintain organized digital and physical filing systems
  • Support ad hoc projects and initiatives as assigned
Qualifications

Basic Qualifications

  • Minimum 5 years of experience providing executive-level administrative support, ideally supporting senior leaders (VP-level and above)
  • Proven experience managing complex calendars and travel for multiple executives
  • Strong attention to detail and excellent organizational skills
  • Ability to adapt and prioritize effectively in a fast-moving environment with shifting priorities
  • High degree of professionalism, discretion, and sound judgment
  • Demonstrated ability to build strong working relationships with senior leaders, cross-functional teams, and external partners
  • Strong written and verbal communication skills
  • Ability to prepare materials, agendas, and follow-ups for executive meetings
  • Proficiency with Microsoft Outlook, Excel, PowerPoint, and expense management systems
  • This role requires flexibility to accommodate business needs, including occasional evening and weekend work
