OFFICE ADMINISTRATOR

WHO WE ARE

Ballet Spartanburg enriches, engages, and educates the Spartanburg community through exceptional dance education, meaningful outreach, and professional performance.

Ballet Spartanburg is the only ballet organization in the Upstate with a resident professional company. With 60 years deeply rooted in the community, we produce four to five ballets each season, serve students ages 3–81 through our Center for Dance Education (CFDE), and work actively throughout the community to provide meaningful access to dance and movement.

ABOUT THE ROLE

The Office Administrator is essential to the daily operations of Ballet Spartanburg, supporting administrative efficiency and creating a welcoming, professional experience for all who interact with the organization. Serving as the first point of contact for visitors, donors, students, and families, this role works closely with the Executive Director, Artistic team, CFDE leadership, Marketing, and the Board of Trustees. This position reports to the Executive Director. This is a FSLA exempt position.

KEY RESPONSIBILITIES

Client & Visitor Relations

  • Serve as the primary point of contact via phone, email, and in person
  • Greet and assist visitors, patrons, donors, and dance families with warmth, professionalism, and respect
  • Respond promptly to inquiries, ensuring a positive first impression

Administrative & Office Operations

  • Manage daily office operations, including communications, scheduling, and general inquiries
  • Maintain organized physical and digital filing systems
  • Coordinate logistics and materials for Board meetings in collaboration with the Executive Director
  • Monitor office supplies and equipment
  • Respond to emails, voicemails, and inquiries within 24 hours

Performance & Production Support

  • Provide administrative support for productions in collaboration with the Executive and Artistic teams
  • Assist with preparation of programs, inserts, and production-related materials
  • Support production timelines and internal communication
  • Assist the Artistic team with administrative and logistical needs as required

Marketing, Systems & Financial Support

  • Assist Marketing with administrative needs related to programs, inserts, and reporting
  • Run reports and provide data support for Marketing and Development as needed
  • Maintain and update organizational databases and systems (including Baserow, Bloomerang, and Excel)
  • Work with the Accountant to assist with reconciling receivables
  • Maintain working knowledge of CFDE tuition rates and Season Memberships to support registrations and inquiries
  • Coordinate CFDE class forms and schedules in collaboration with the CFDE Principal

Team Collaboration & Process Improvement

  • Support clear and respectful internal communication across departments
  • Serve as a liaison between external stakeholders and staff as appropriate
  • Identify opportunities to improve administrative workflows and operational efficiency


 

 

QUALIFICATIONS

  • Minimum of 3 years of experience in administrative support or office management
  • Nonprofit or arts administration experience preferred, but not required
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • High level of professionalism and customer service
  • Proficiency in Excel, Word, Adobe, and database systems (training provided as needed)
  • Ability to manage multiple priorities in a collaborative, mission-driven environment


COMPENSATION & SCHEDULE

  • 35 hours per week
  • Flexible hours available with approval
  • Hourly pay range: $20–$25, based on experience and proficiency
  • Opportunity for wage increase following performance reviews
