Executive Assistant

The Executive Assistant provides high-level administrative support to senior executives, ensuring efficient operation and coordination at the executive level. This role involves managing schedules, coordinating meetings, and acting as a liaison between the executives and internal/external stakeholders. This dynamic position requires the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain balance among multiple priorities. The Executive Assistant must be able to work independently and be comfortable with working under pressure at times to handle a wide variety of activities, is highly organized, proactive, and capable of managing multiple priorities with discretion and professionalism.

Key Responsibilities:

  • Manage executives’ calendars, including scheduling appointments, meetings, and travel arrangements; Proactively monitor calendar for conflicts or reprioritization and make necessary adjustments.
  • Prepare and process expense reports accurately and in a timely manner.
  • Coordinate external and internal meetings, conference calls, and video conferencing with utmost attention to detail, preparation, and follow up.
  • Handle correspondence, including emails, phone calls, and written communication on behalf of the executives.
  • Draft, proofread, and edit documents and communications as needed.
  • Serve as a primary point of contact between the executives and internal/external stakeholders.
  • Coordinate cross-departmental meetings, events, and initiatives as directed.
  • Maintain strong communication with team members, ensuring follow-ups and deadlines are met.
  • Assist in managing special projects and initiatives, including tracking progress and ensuring timely completion.

Skills and Qualifications:

  • 5-7 years of experience supporting C-Level Executives
  • Associate’s or Bachelor’s degree required, or equivalent work experience
  • Strong organizational capabilities that reflect ability to prioritize and perform multiple tasks with precision and attention to detail
  • Excellent written and verbal communications skills
  • Be adaptable to rapidly changing priorities, and demonstrate a high level of client service and responsiveness
