Excel Data Cleaning information

What is Excel data cleaning?

Excel data cleaning refers to the process of identifying and correcting errors, inconsistencies, and inaccuracies in data sets using Microsoft Excel. This involves tasks such as removing duplicates, fixing formatting issues, handling missing values, and standardizing data for analysis or reporting. Effective data cleaning ensures that your data is reliable, accurate, and ready for further processing or analysis. It is a critical first step in any data management or data analysis project.

What are the key skills and qualifications needed to thrive as an Excel data cleaning specialist, and why are they important?

To thrive as an Excel Data Cleaning Specialist, you need strong attention to detail, advanced knowledge of Excel functions (such as VLOOKUP, FILTER, and TEXT functions), and experience with data management. Familiarity with Excel add-ins, Power Query, and sometimes knowledge of VBA scripting or other data processing tools is highly valuable. Analytical thinking, problem-solving, and effective communication help you interpret data requirements and collaborate with stakeholders. These skills ensure data accuracy, streamline workflows, and support reliable decision-making based on clean, usable datasets.

What are some common challenges faced in Excel data cleaning roles, and how can they be effectively managed?

One common challenge in Excel data cleaning is dealing with inconsistent or incomplete data, such as missing values, duplicate entries, or formatting issues. Effectively managing these challenges involves using Excel tools like filters, conditional formatting, and the 'Remove Duplicates' feature, as well as formulas like IF, ISBLANK, and VLOOKUP to identify and correct discrepancies. Collaborating closely with team members or data stakeholders is also important to clarify data definitions and ensure accuracy. Staying organized and documenting your cleaning process helps maintain data integrity and supports transparency for future audits or team reviews.

Job description

NOW HIRING: Data Manager

New Era Colorado Foundation and New Era Colorado Action Fund are seeking a full-time Data Manager who will be responsible for managing New Era’s data systems, reporting programmatic impact, and supporting field operations and programs.

The priority deadline is July 31, but this position will be open until filled and will be removed from our website once it is filled (if the posting is still up, you can and should still apply!). Cover letters are highly encouraged. No phone calls, please.

About New Era Colorado:

New Era aims to build a youth movement that fights for a common vision of the world: one that centers equality, prosperity, love, and joy. A vision where everyone is treated fairly, has their basic needs met, and can thrive. Young people are the most impacted by the challenges and issues we face today and have the capacity to dream bigger, designing the solutions towards this future. And yet, young people are often shut out from the halls of power and ignored by elected officials. That’s why at New Era, we organize young people to participate in the political process, develop as leaders, and find a political home. Since our founding in 2006, we’ve registered more than 250,000 young people to vote and consistently turn out those registrants at one of the highest rates in the country. We’ve won critical protections for student loan borrowers, played a key role in ballot measure campaigns to protect abortion rights and climate, enacted voter preregistration for 16- and 17-year-olds, advocated for key improvements to our voting systems, and more. About the position:

New Era’s next Data Manager will manage all of New Era’s data systems to meet our programmatic goals so that we can build political power for young Coloradans while advancing the Youth Agenda! In this role, you’ll manage all of our programmatic data systems from top to bottom in order to support and grow our programs. This is an exciting career opportunity for a detail-oriented self-starter who is eager to leverage and grow their data skills! If you’re a whiz using Excel/Google Sheets, you’re a systems thinker with a strong attention to detail, and you can juggle multiple high-priority projects at once, we strongly encourage you to apply!

Job Responsibilities:

The Data Manager reports to the Political Director and is responsible for:

  • Managing New Era’s database and tools | Maintain and improve New Era’s data, including the ways we store, code, organize, and track data throughout EveryAction, VAN, and Google Sheets. Establish and run processes for data to move from our program (voter registration, comment cards, volunteer information) into New Era’s databases in collaboration with staff. Maintain and improve the documentation that allows staff to easily access and use those systems. Audit, clean, deduplicate, and close out data in our databases monthly. Bottom line, all data cleaning, bulk uploading, coding, and storage from all organizing programs, local and statewide.

  • Targeting and Outreach | Support targeting of major statewide campaigns and electoral targeting. Administer, set up, maintain, run, and report on all tools, platforms, and databases used for statewide campaigns and electoral programs. Support staffing pulling lists, setting up outreach campaigns on platforms, building canvassing scripts/questions/codes in VAN, and tracking volunteers for their programs and local campaigns

  • Field Program Setup and Strategic Support: Cut and maintain turfs for canvassing programs, ensuring efficient geographic and household coverage across target areas. Build and maintain field plans in collaboration with staff, aligning universe size, staffing, and timelines to program goals. Build strategic outreach lists tied to desired program outcomes, including persuasion, GOTV, and issue-based universes — pulling and refining targeting criteria in VAN/EveryAction to match campaign strategy.

  • Reporting | Drive program reporting, progress monitoring, and troubleshooting data challenges. Drive program reporting, progress monitoring, and troubleshooting data challenges. Collaboratively create and independently maintain all internal reports on New Era's programs, departments, and campaigns. Provide support to directors in understanding and maintaining their departments' reports. Implement scalable and efficient data systems to track progress to goals and analyze program successes for internal use and funder and stakeholder reporting. Use data visualization tools to track and report on all organizational programs, giving staff and directors access to data that informs decision-making and telling a story to our base, staff, donors, and the general public about the great work we do.

  • Training | Train and equip New Era staff to use data systems and platforms in a thorough and user-friendly way in order to mitigate errors in data usage. Establish org-wide training protocols for VAN and EveryAction. Create and provide all training on tools, platforms, databases, data collection and entry, quality control procedures for voter registration, and more to all New Era staff. Be the expert on New Era’s frequently used data systems and help staff troubleshoot issues and find solutions for emails and actions.

  • Voter Registration Quality Control | Oversee all aspects of quality control in voter registration, and manage the lifecycle of our VR forms and comment cards. Manage and execute all voter registration form processing, scanning, transfer/tracking, and quality control processes and systems in order to maintain the integrity of New Era’s voter registration drive.

What We’re Looking For:

  • Highly organized with strong attention to detail: You have strong systems to stay organized so that you can drive work forward and complete tasks and projects. You are detail-oriented, have the skills to spot errors, clean data for consistency, and manage data sets efficiently.

  • Strategic and analytical thinking: You have the ability to problem-solve, troubleshoot, and find solutions in an independent manner. You can strategically organize data systems and analyze numbers.

  • Strong data analysis skills: You're comfortable working with large, complex datasets, identifying trends and patterns, and translating data into clear, actionable insights for staff and directors.

  • Time management skills: You can manage multiple projects with many moving parts while balancing competing priorities and using your time effectively.

  • High level of comfort with spreadsheets and a strong interest in numbers: You have strong experience with Excel and/or Google Sheets (we use Google for the most part, but Excel skills will translate well), and are comfortable teaching yourself new ways to use spreadsheets.

  • Commitment to anti-racism and equity: You have a deep investment in New Era’s anti-racism and equity work and are committed to supporting the organization through its growth. You are committed to learning the intersection between anti-racism and data so that our data systems are centered in these practices.

  • Commitment to New Era’s mission: You are passionate about the work New Era does to engage young people in the political process and believe in the power of peer-to-peer organizing. You believe in the power of young people, grassroots organizing, and policy change.

Preferred but not required

  • Experience with political databases - including VAN, EveryAction, or ThruTalk

  • Experience in political organizing, field campaigns, and/or grassroots advocacy work

This is a permanent, full-time, non-exempt position that is part of a bargaining unit exclusively represented by the Denver Newspaper Guild. Pay is $30.67 per hour, which is $63,801 annualized.
