Job description

Description The Deputy Clerk I performs a variety of clerical support work for the Treasurer's Office in one or more of the following areas: personal property, income tax, real estate, animal licensing, general billing, tax software support and general office operations. Examples of Duties Provides clerical support for the department; processes a variety of documentation associated with department operations within designated timeframes and per established procedures; receives and responds to inquiries; composes and types correspondence; types materials from draft and/or handwritten copies; processes outgoing mail. Answers incoming telephone calls; provides information and assistance; records/relays messages or directs calls to appropriate personnel; initiates and returns calls as necessary.

Performs customer service functions; provides assistance and information related to taxes, accounts, services, fees, payments, procedures, documentation, or other issues; researches account problems and ensures payments are credited to proper accounts; assists attorneys, paralegals, and title companies in researching accounts; responds to routine questions/complaints and initiates problem resolution. Receives money in payment of personal property taxes, real estate taxes, business licenses, building permits, county publications, maps, or other fees/services; calculates taxes, penalties, and interest; processes and records transactions; balances daily receipts with monies collected; endorses checks and prepares revenues for deposit; records overpayment refunds and mails refund checks with correspondence. Processes monies received from other county departments; compares payments with statements and identifies discrepancies.

Generates printed tapes of monies/checks for bank deposits; balances cash drawers; provides deposits and cash drawer reports to appropriate personnel; researches cash drawer shortages, overages or other discrepancies. Issues animal license tags, and commercial business licenses; collects payments and issues receipts; maintains records for animal tags, maintains records for false alarms and rollback taxes; prepares daily balancing reports. Prepares tax bills for mailing; assists in processing address changes and posting credits to real estate tax bills; prepares delinquent real estate tax bills for mailings; and pet license applications for mailings.

Processes letters for insufficient payment on accounts. Prepares or completes various forms, reports, correspondence, receipts, bills/statements, insufficient payment notices, delinquent notices, animal tag reports, false alarms, processes mortgage company accounts, credit letters, state income tax letters, or other documents. Observe all approved safety and health policies and procedures pertaining to his/her work activities and perform all work tasks in a safe and healthy manner in accordance with County policy.
