Job Summary

We are seeking a detail-oriented, organized, and dependable Administrative Assistant to join our team. The ideal candidate will play an important role in coordinating patient and caregiver schedules, supporting efficient patient flow, and providing exceptional service to our patients, caregivers, and staff.

This position requires strong communication and organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. The successful candidate will be proactive, adaptable, and comfortable managing multiple responsibilities while maintaining a high level of professionalism.

Responsibilities
  • Coordinate and manage patient and caregiver appointment schedules accurately and efficiently.
  • Schedule home visits and ensure appointments are properly documented and communicated.
  • Communicate professionally and effectively with patients, caregivers, and staff to ensure smooth and timely scheduling.
  • Maintain accurate and up-to-date patient and caregiver records.
  • Enter and update scheduling information in Sandata and other required systems.
  • Support daily front desk operations, including answering phone calls, faxing, scanning, filing, and greeting patients, caregivers, and visitors.
  • Identify and resolve scheduling conflicts or changes promptly while keeping all affected parties informed.
  • Respond to patient and caregiver questions regarding appointments and scheduling.
  • Provide excellent customer service and maintain a professional and welcoming office environment.
  • Assist with other administrative duties as needed to support daily office operations.
Qualifications & Experience
  • Previous administrative, office, healthcare, or scheduling experience preferred.
  • Electronic Visit Verification (EVV) knowledge is required.
  • Experience scheduling home visits using Sandata is required or strongly preferred.
  • Strong computer skills and the ability to learn and navigate electronic systems.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
