Position Overview:

The Special Assistant to the NAMโ€™s Executive Vice President is a critical connecting point for the NAMโ€™s External Relations Managing Vice Presidentโ€™s and the rest of the organization.ย  The position supports and serves as a liaison to the Executive Vice President by ensuring the division is managed effectively through careful coordination and maintenance of the EVPโ€™s schedule and correspondence, as well as handling of multiple projects that stretch across all divisions.ย  This position works closely with NAMโ€™s Senior Staff as well as the President and CEOโ€™s Executive Operations team. Candidates must maintain a strict high level of confidentiality on matters related to the Executive Vice President.


Day-to-Day Responsibilities:

  • Maintain all aspects of the EVPโ€™s calendar, schedule, extensive contact database, and administrative support including but not limited to internal and external meetings, speaking engagements, travel, call lists, correspondence, rigorously proofing all written materials, and supporting special projects as needed.
  • Serve as a liaison between the EVP and internal stakeholders with the ability to make decisions and problem solve as they pertain to scheduling priorities, special projects, briefing materials, and travel.ย 
  • Assists in preparing the EVP for activities and events with various members, agencies in the Administration, Congressional offices, The White House, and other external groups.
  • Serve as project manager including writing and editing documents on behalf of EVP.
  • Manage the EVPโ€™s social media channels and work with communications team to facilitate postings that amplify organizations messages.
  • Ability to work closely with colleagues across the organization to determine meeting logistics and requirements as appropriate.
  • Provide timely and relevant information to members as it relates to special requests, inquiries on policy or other issues and direct concerns from members as appropriate to the External Affairs division.
  • Coordinate the EVPโ€™s travel arrangements, prepare and file expense reports. Responsible for communication of travel logistics to the appropriate NAM staff & external parties for support as needed.
  • Organize and manage special projects for the EVP including but not limited to all logistics, printed material, and travel for dinners and receptions with membership, board obligations, Washington business community, developing correspondence and other related functions.

ย Qualifications:

  • 5-7 years administrative experience working as a scheduler or Executive Assistant strongly preferred, with 1+ years of experience managing the office of a senior level executive in an advocacy, political, business or hospitality/service environment.
  • Microsoft Office proficiency is required.
  • Outstanding intra-personal communication skills and office management abilities.
  • Strong time management and organizational skills are required.
  • Exceptional written โ€œexecutiveโ€ communication skills, grammar and proofreading abilities.
  • Ability to manage multiple projects concurrently and make decisions quickly, with impeccable attention to detail.
  • Must exude professional image and have the ability to approach people and situations first and foremost with a positive attitude, along with tact, diplomacy, discretion, confidentiality and a sense of urgency.
  • Ability to handle pressure with grace and a positive attitude in a deadline-driven, fast paced ย environment, ย where priorities and direction may change frequently.
  • Work hours are generally 9:00 am โ€“ 6:00 pm with flexibility to work after hours and limited travel as needed.

Salary Range: $79,000 โ€“ $110,000 annually. This salary range represents a good faith estimate of the lowest to the highest salary for this position. The final salary offered will be based on qualifications and experience.
