Job description

Summary:   The Events Coordinator is an employee of The San Diego Regional East County Chamber of Commerce and reports to the Chamber President/CEO. The position is responsible for coordinating all Chamber events & programs.  While reporting directly to the President & CEO for The San Diego Regional East County Chamber of Commerce, the Events Coordinator will handle events from start to finish. As the primary point of contact for The San Diego East County Chamber of Commerce events, the Events Coordinator will primarily coordinate with the CEO, Chamber members, business owners, sales and marketing teams, and event exhibitors. Oversee & coordinate all volunteers for events.  Interact with all potential sponsors, donors, venue contacts and attendees as to establish the personal touch while establishing relationships for future interaction for the mutual benefit of the community.  Our goal is to Showcase The Chamber to maximize our outreach to community members, retain and engaging current members, and encourage membership growth through fun interactive networking and showing value for being a member of the San Diego Regional East County Chamber of Commerce.

Daily and Monthly Responsibilities:

  • Reports directly to the President & CEO
  • Communicate and Collaborate with the President & CEO for The Chamber on a regular basis
  • Coordinate with staff, vendors, exhibitors and stakeholders during event planning
  • Oversee all Events including but not limited to-First Friday Breakfast, Dine & Dialogue, WILL, Politics in Paradise, Leadership, East County Honors, Golf Tournament, Mixers, Ribbon Cutting, etc…
  • Work with in-house team and outside contractors to create and distribute event listing pages on social media websites and other marketing/media outlets
  • Manage event set up, tear down and follow-ups
  • Establish standardized event procedures and train staff into properly executing them as a team
  • Work with the President & CEO on creating and hitting events budget targets
  • Negotiate contracts and consult with the President & CEO of The Chamber
  • Recruit Committee Members & Chairs & consult with the President & CEO and Board Chair
  • Create strategic plan to delegate committee chair and committee member tasks based on desire, strengths, and established community relationships
  • Work with Committees on events, opportunities, implementation, approvals and feedback
  • Establish timelines for deadlines including, but not limited to, sponsorships, donations & RSVP lists.
  • Prepare a schedule of events including placement of volunteers & distribute at final committee meeting prior to the event
  • Track event key performance areas and identify items to work on for future event
  • Works with The Chamber Team to support each department
  • Support the maintenance and development of internal tools through technology
  • Oversee and develop Membership engagement and growth
  • Further knowledge and education regularly through workshops, research, and seminars, and share best practices with the team
  • Assist in the Chamber office with admin and answering phones
  • Assist with Marketing and Social Media
  • Assist with Membership
