Job Title: Conference Services Manager (CSM)

 

Reports To:  Director of Catering

 

Position Summary

The Conference Services Manager serves as the liaison between the group contact and the hotel operations team to ensure a smooth and successful event for the client. You will be responsible for maintaining room blocks, catering details, audio visual and setup requirements. The ideal candidate for Conference Services Manager will have a professional demeanor, superb organization skills, experience in customer service and hotel sales and catering.

Responsibilities & Daily Activities to Include:

 

Event Planning & Strategy: Lead planning meetings with clients to finalize all event logistics, including room setups, food and beverage specifications, and specialized technical requirements.

Operational Documentation: Author and distribute comprehensive Banquet Event Orders (BEOs) and group resumes to ensure all departments (Culinary, Housekeeping, Front Office) are aligned on execution.

On-Site Leadership: Act as the main point of contact during live events, managing vendor arrivals, troubleshooting real-time issues, and overseeing the transition between event phases.

Financial Management: Monitor event budgets, track upsell opportunities, and perform a meticulous review of final billing for accuracy before client submission.

Vendor Coordination: Source and manage external partners for décor, entertainment, and specialized AV to ensure all third-party services meet brand standards.
