Job description

The Special Events Manager collaborates with the Executive Director of Special Events and other members of the events team to produce both small and large-scale events for the BILH Philanthropy Office. Maintains strong and collaborative working relationships with system, local hospital and business units, Philanthropy leadership, as well as, members of the External Relations team and key vendors.

Job Description:

1. Works closely with the Executive Director of Special Events and members of the events team to strategize, design, manage, and execute Philanthropy-related events. These events include but are not limited to transformational giving events, stewardship events, professorships, board events, signature events, galas and fundraisers. 

2. Serve as key partner to Executive Director to support the development of standardizing processes, standards, and templates for event planning and execution. 

3. Partners with colleagues in Donor Relations, Communications, and Marketing to promote events, appropriately steward donors, and ensure the accuracy and quality of event content. 

4. Develop relationships with both internal and external vendors. Participate in the contract negotiation process to ensure fair pricing. Ensure the quality of event venues, audio visual/sound, flowers, food, beverages, entertainment, gifts, etc. is consistent with BILH’s high quality standards. 

5. Independently produces and manages small scale events.

6. Manage and execute event contracts to ensure they are accurate and align with BILH legal standards. 

7. Ensure that messaging and event branding are consistent with BILH’s guidelines and strategic plan.

8. Maintain the fiscal special events budget with input from team members.

9. Take on special projects as needed to further the events team support of philanthropic initiatives 10. Work with the Executive Director of Special Events to produce strategic philanthropy events.

11. Collaborate with BILH External Relations Teams to produce event collateral such as invitations, speaking remarks, event videos and printed pieces to support the event goals.

12. Overall project management of events to ensure key deliverables are produced on time while keeping all stakeholders informed.

13. Manage and produce small events independently to further BILH and the system’s philanthropic priorities.

14. Manage administration and operational tasks for the events team to ensure budgets, vendors, templates, and other tools are in place to streamline processes and support timely execution of events.

Requirements:

Bachelor's degree required.

2-5 years’ related work experience required. Project management experience is required.

Must demonstrate teamwork, resourcefulness, results orientation, optimism, and trust.

Pay Range:

$70,000.00 USD - $100,000.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
