SUMMARY
The Special Events Manager will lead planning and executing winter and summer special events at the resort. Special events include things like ski races, bike and running races, and music festivals, ranging from 100 to 3,000 attendees. This role will also coordinate smaller set-ups such as vendor demos, non-profit pop-ups and the like which enhance the guest experience. The Special Events Manager will work cross-functionally across all resort departments and very closely with sales, marketing and mountain operations to maximize the success of each event. This individual has comprehensive experience in managing all aspects of event planning, including, but not limited to, logistics coordination, event flow, contract negotiation, event sponsorships, and budget management. This individual will have one direct report who will assist in executing events. This role will need to be on site for all events necessitating in weekend, holiday and evening hours as needed based on event schedules. A key part of every employee's job is to serve as a Targhee ambassador, engaging the guest at every opportunity.
ESSENTIAL DUTIES AND RESPONSIBILITIES including the following. Other duties may be assigned.

1. Lead the planning, coordination, and successful execution of winter and summer special events, from initial concept through event breakdown and post-event evaluation.

1. Serve as the primary point of contact for assigned events, coordinating event requirements, timelines, logistics, and priorities with internal departments and external partners.

1. Develop detailed event plans and provide clear, timely communication to internal teams to ensure alignment and successful execution.

1. Prepare and distribute pre-event and post-event documentation, capturing event logistics, outcomes, lessons learned, and recommended changes for future events.

1. Lead pre- and post-event meetings with appropriate stakeholders to communicate event needs, evaluate outcomes, and identify opportunities to improve future events.

1. Develop, manage, and reconcile the annual event budget, ensuring events are executed within approved financial parameters.

1. Identify opportunities to enhance existing events and develop new event concepts that increase guest engagement and improve the overall guest experience.

1. Support contract negotiations with event partners, vendors, and service providers and help ensure contractual terms support the Resort's operational and business interests.

1. Build and manage relationships with vendors, service providers, event partners, customers, and other external stakeholders.

1. Develop and maintain relationships with existing and prospective event sponsors, including sponsorship outreach and follow-up.

1. Proactively identify and resolve event-related challenges, adapting plans as conditions and operational needs change.

1. Provide leadership, direction, and support to the Events Coordinator and additional event support staff.

1. Manage multiple events and projects simultaneously, ensuring deadlines, commitments, and event details are effectively tracked and completed.

RESPONSIBILITIES TO SAFETY:

1. Protect the safety of self, workers, and Grand Targhee Resort guests.

1. Report any potentially harmful equipment or situations to the immediate supervisor without delay.

1. Report safety-related accidents and incidents at once to immediate supervisor.

1. Follow all company and department safety policies and procedures as outlined in the Resort's Occupational Safety & Health Compliance Manual and department-specific procedures or manuals.

1. Operate equipment safely so that it will not lead to injury to yourself or others.

1. Drive in accordance with the law and Grand Targhee Resort policies.

SUPERVISORY RESPONSIBILITIES
This position oversees the Special Events Supervisor.
WORK SCHEDULE
Due to the nature of the recreation industry, we are in operation seven days a week. This includes weekends and holidays and there is no guarantee of hours. Flexible working hours may be required based on the business levels.
EDUCATION and/or EXPERIENCE

• Minimum of five years of experience in event management, including event planning and hands-on event execution.

• Bachelor's degree (B.A.) from a four-year college or university preferred but not required.

• Intermediate to expert skier or snowboarder, comfortable on double black diamonds.

• Previous successful experience managing direct reports.

• Experience or knowledge of ski racing, bike racing, crowd management, music production, course planning and set-up, and timing functions preferred.

MATHEMATICAL SKILLS
Ability to perform basic mathematical calculations and apply concepts such as addition, subtraction, multiplication, division, percentages, and basic financial calculations. Ability to prepare, monitor, reconcile, and interpret event budgets, costs, revenues, and related financial information.
LANGUAGE SKILLS
Ability to read, analyze, and interpret business documents, contracts, event plans, policies, and procedures. Ability to write clear reports, correspondence, event documentation, and other business communications. Ability to effectively present information and communicate with employees, management, vendors, sponsors, partners, and guests.
REASONING ABILITY
Ability to define problems, gather and evaluate relevant information, establish priorities, and develop practical solutions. Ability to manage multiple variables and make sound decisions in situations where circumstances may change quickly. Ability to interpret instructions and apply independent judgment when coordinating event logistics, resolving problems, and responding to unexpected situations.

While performing the duties of this job, the employee is regularly required to stand, walk, sit, talk, hear, and use hands and fingers to operate a computer and other equipment. The employee must frequently move throughout indoor and outdoor event locations, including uneven, snow-covered, or otherwise variable terrain.
The employee is occasionally required to lift, carry, push, or move objects weighing up to 50 pounds in connection with event set-up and breakdown. Specific vision abilities required include close vision, distance vision, and the ability to adjust focus. The employee must be physically able to work outdoors for extended periods and tolerate varying weather conditions, including cold, snow, rain, heat, and other conditions associated with a mountain resort environment.
WORK ENVIRONMENT
This position works in a combination of office and outdoor resort environments. Work frequently takes place at event venues and throughout the mountain and resort and may involve exposure to changing weather conditions, uneven terrain, crowds, noise, moving equipment, and active event operations. The noise level in the work environment is usually moderate and occasionally loud.
