Job description

Executive Assistant

This position provides administrative support for the executive level and represents a division across campus and community members. Responsible for setting the tone of professionalism, standards of performance and cooperation among support staff and fostering cooperative relationships and harmonious flow of work between the Foundation, the President's Office, and other entities across campus.

A nonprofit Idaho organization, the Boise State University Foundation was established in 1964 for the benefit of Boise State University. We work to build relationships and support for the university by developing and nurturing donor-centered relationships and stewarding gifts made in support of Boise State. The Foundation works closely with university leadership, the Boise State University Alumni Association, and the Bronco Athletic Association.

Recognized subject matter expert who knows how to apply theory and put it into practice with an in-depth understanding of the professional field, with limited oversight from managers. Independently performs the full range of responsibilities within the function; requires deep job knowledge of the area, typically obtained through higher education combined with experience. Manages large projects or processes and problems faced are difficult and often complex; analyzes problems/issues of diverse scope and determines solutions. May manage programs that include formulating strategies and administering policies, processes, and resources; functions with a high degree of autonomy. Influences others regarding policies, practices and procedures.

60% of the time the Executive Assistant must:

  • Manage communication and scheduling activities for the Foundation Chief Executive Officer, ensuring effective time management and prioritization of schedule using appropriate judgment to adjust as necessary.
  • Develop and manage special projects assigned, event planning and organizing.
  • Review and refer or resolve complex and sensitive problems and concerns from internal and external constituencies, including employees, students, Foundation Board members, State Board of Education members, and other state policy makers and their staffs.
  • Interpret policies and procedures, making decisions on specific operating problems and issuing instructions, drafting confidential policies and project proposals.
  • Prepare reports, memos, letters, presentations and other documents, and help prepare for meetings.

35% of the time the Executive Assistant must:

  • Coordinate travel for donor visits and events; arrange logistics and execute travel authorizations and expense reimbursements for executives.
  • Maintain prospect strategies and file contact reports in the Raiser's Edge database.
  • Prepare gift acknowledgement letters and other donor relations materials.
  • Arrange the CEO's donor cultivation and stewardship around athletic and other university events.
  • Review and refer or resolve complex and sensitive problems and concerns from internal and external constituents. This includes researching the issue, determining proper disposition of the issue, and proactive problem-solving in a manner representing the Foundation and University at the highest standard of customer service.
  • May represent the executive at meetings or on committees, and provides regular updates on various university business matters.
  • Draft project proposals, compile and analyze benchmarking data, and compile and analyze performance data, identifying trends.

5% of the time the Executive Assistant must:

  • Perform other duties as assigned.

Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities. Ability to anticipate needs. Excellent oral and written communication skills, high degree of diplomacy. Ability to research, organize and synthesize information and materials from multiple sources. Advanced Microsoft Office skills. Ability to meet project deadlines while adapting to immediate demands. Comfortable working as a team member. Ability to be flexible and to deal with ambiguity.

Bachelor's Degree and 5 years relevant experience or equivalent professional experience.

Salary range is $60,673.60 to $75,836.80 annually and is commensurate with experience.
