Job Summary:
  • We're looking for a skilled, detail-oriented, and proactive Event Planner to manage and coordinate events for the Ovation Users Executive Board, ensuring seamless execution and impactful experiences.
  • This role requires a solid understanding of event logistics, exceptional organizational skills, and the ability to communicate effectively with various stakeholders.
  • The ideal candidate will have experience in event planning, marketing, or a related field and will strive to exceed expectations in delivering outstanding customer events.
 
Job Responsibilities:
  • Serve as the main coordinator for all communications with the Ovation Users Executive Board.
  • Oversee the coordination and logistics of the Ovation Users Group Conference.
  • Facilitate information exchange to understand customer requirements for key user events.
  • Familiarize yourself with the Ovation Users Group bylaws and engagement rules between company and board members.
  • Lead and manage all customer events associated with the Executive Board, including logistics, audio/video suppliers, catering services, and leisure activities.
  • Coordinate with board members for participation in quarterly meetings and manage key actions resulting from engagements.
  • Track progress of actions and provide updates to the Executive Board.
  • Conduct internal briefing sessions to designate action owners and manage escalations effectively.
  • Attend and contribute actively to all meetings; quarterly travel may be required.
 
Qualifications:
  • BS/BA in business, communications, marketing, or a related field.
  • Equivalent combination of education and experience will be accepted.
  • Minimum 5 years of experience in event planning, marketing, or a related function.
  • Proven track record of successful event coordination and execution.
  • Strong communication, organizational, and multitasking skills.
  • Ability to work independently and collaboratively under pressure.
  • Familiarity with audio/video logistics and catering coordination is a plus.
