Job description

Position Summary

Hartford Technology Rentals is seeking reliable, customer-focused On-Site Event Technicians with specific, hands-on experience in on-site registration management to support and oversee event registration operations at conferences, trade shows, corporate meetings, and special events. Please note that this specific management experience is strictly required to be considered for the role. This is a project-based independent contractor (1099) position, allowing contractors the flexibility to accept or decline assignments based on availability.

Technicians are responsible for setting up, configuring, and actively managing event registration technology while delivering a seamless, professional experience for both clients and attendees.

All required equipment is provided. Contractors are paid a daily event rate, with travel expenses and a meal stipend reimbursed when applicable.


Key Responsibilities


Event Registration Management & Setup

  • Lead the on-site registration management process, ensuring check-in stations run efficiently and trouble-free throughout the entire event.
  • Install, configure, and test event registration systems prior to attendee arrival.
  • Set up and support registration hardware, including laptops, tablets, badge printers, scanners, RFID equipment, and networking devices.
  • Configure and verify internet connectivity and ensure all systems are fully operational before registration opens.
  • Prepare registration and check-in stations for event staff and attendees.
  • Support and monitor on-site badge printing and attendee check-in processes.

Technical Support

  • Diagnose and resolve software, hardware, networking, and printing issues in real time.
  • Troubleshoot registration platforms and peripheral devices with minimal disruption to event operations.
  • Escalate complex technical issues when appropriate while maintaining clear communication with event leadership.

Customer Service & Collaboration

  • Deliver exceptional, white-glove customer service to clients, event staff, and attendees.
  • Professionally answer questions and resolve registration-related concerns.
  • Always represent Hartford Technology Rentals with professionalism and a positive attitude.
  • Work closely with event organizers, venue personnel, IT teams, and other vendors to ensure successful event execution.
  • Communicate effectively regarding event status, technical issues, and operational updates.

Experience

  • Required: Proven, direct experience in on-site registration management at conferences, trade shows, or large-scale corporate events. Candidates without this specific management and execution experience will not be considered.
  • Familiarity with event registration platforms such as Cvent, Whova, Expo Pass, Accelevents, or similar applications.
  • Experience setting up and supporting laptops, tablets, badge printers, scanners, RFID devices, and Wi-Fi networks.
  • Strong technical troubleshooting skills with the ability to quickly identify and resolve issues under pressure.

Employment Status

This is a 1099 Independent Contractor position. Contractors are not employees of Hartford Technology Rentals and have the flexibility to accept or decline event assignments based on their availability.
