Event Services Associate information

What is an event services associate?

Event Services Associates are professionals responsible for supporting the coordination and execution of events, such as conferences, weddings, and corporate functions. Their duties include setting up venues, assisting guests, managing equipment, and ensuring that events run smoothly from start to finish. They often work as part of a team under the supervision of an event manager or coordinator and may interact with vendors, caterers, and attendees. Strong communication and organizational skills are essential in this role, as is the ability to problem-solve quickly during live events.

What skills and qualifications are needed to be an event services associate?

To thrive as an Event Services Associate, you need strong organizational abilities, attention to detail, and experience in event coordination, often supported by a high school diploma or relevant hospitality coursework. Familiarity with event management software, audiovisual equipment, and basic office technology is typically required. Excellent communication, customer service orientation, and problem-solving skills help you manage client expectations and respond to on-site challenges. These skills ensure smooth event execution, client satisfaction, and the ability to adapt quickly to changing event needs.

What are common challenges faced by event services associates and how can they be managed?

Event Services Associates often encounter challenges such as last-minute changes to event details, coordinating with multiple vendors, and managing tight schedules. Adaptability and strong communication skills are key to handling these situations efficiently. Building strong relationships with team members and vendors, staying organized with detailed checklists, and maintaining a calm demeanor under pressure can help ensure events run smoothly. Regularly reviewing event plans and holding pre-event briefings can also minimize unexpected issues.

Job description

Pyramid Global Hospitality is a leading hospitality management company with a portfolio of more than 200 hotels and resorts and over 18,000 associates across the United States, Caribbean, and Europe. Our platform includes Benchmark Resorts & Hotels, a collection of distinctive independent properties; Axiom Hospitality, our European hotel management company; and PYRAMIDWORKS, which provides integrated workplace and facilities services. With corporate offices in Boston, The Woodlands, Texas, and London, Pyramid combines global scale with a hands-on approach focused on exceptional service, operational excellence, and long-term partnerships.
At Pyramid, our people are at the heart of everything we do. We are committed to creating an environment where associates are respected, supported, and empowered to grow their careers. Team members have the opportunity to collaborate directly with experienced leaders, take on meaningful stretch assignments, and gain exposure to a diverse portfolio of properties, brands, and markets. About our property:
Immerse yourself in the unparalleled beauty of picturesque Central Oregon. Our re-imagined 221 room hotel in Bend, Oregon has been completely redesigned to provide guests with modern sophistication and world-class amenities. A relaxing location on the banks of the river is just a preview of the natural beauty and untamed wilderness that surrounds us, beckoning for outdoor pursuits.
What you will have an opportunity to do:
Help Couples Create One of the Best Days of Their Lives...Without Spending Every Saturday Running Banquets.
Riverhouse Lodge is looking for a Weddings & Event Services Manager who loves weddings, event planning, and building relationships.
This isn't your typical wedding venue position.
You'll own the entire wedding experience-from the first inquiry and venue tour through contracting, tastings, planning meetings, and final event details. Once the wedding begins, our experienced Banquet team takes over event execution, allowing you to focus on what you do best: creating exceptional client experiences before the big day.
In addition to weddings, you'll serve as the Event Services Manager for catering-only events already booked by our Sales team, ensuring every detail is planned and communicated for flawless execution.
What You'll Do
  • Sell and coordinate weddings from inquiry through final event detailing.
  • Conduct venue tours and build lasting relationships with couples.
  • Prepare proposals, contracts, BEOs, event diagrams, and timelines.
  • Coordinate wedding tastings and planning meetings.
  • Partner with culinary, banquet, and operations teams to ensure every detail is ready for execution.
  • Detail catering-only events, including corporate dinners, celebrations, holiday parties, and social events.
  • Deliver an exceptional client experience from beginning to end.

What You'll Bring
  • Experience in wedding sales, catering sales, event planning, convention services, or hospitality.
  • Outstanding organizational and communication skills.
  • A passion for hospitality and creating memorable experiences.
  • The ability to manage multiple events while maintaining exceptional attention to detail.

Why Riverhouse Lodge?
Located on the banks of the Deschutes River in beautiful Bend, Oregon, Riverhouse Lodge is Central Oregon's premier destination for weddings, meetings, and special events. You'll join a collaborative team that loves what they do and takes pride in creating unforgettable experiences for our guests.
If you love weddings, enjoy working directly with clients, and want to be part of a team that creates incredible celebrations, we'd love to meet you.
#IND200
