Job description

Hi there! We're Alma
We're on a mission to make immigration more accessible, transparent, and human through cutting-edge technology and thoughtful legal support.
We're backed by top-tier investors (Bling, Forerunner, Village Global, NFX, NEA, MVP, Conviction, and Silkroad Innovation), and our team combines decades of experience across immigration law, product, operations, and high-growth startups.
We're hiring an Event Operations Specialist to be the operational backbone behind Alma's growing events engine, ensuring every in-person dinner, party, and workshop we run for founders and HR / People teams comes together seamlessly, on time, and at a premium standard.
This role is primarily about execution. You'll own the logistics that make a memorable event real: run-of-show planning, venue and vendor coordination, on-site readiness, budget tracking, and the countless details that separate a good event from a forgettable one. You'll also be a crtical thought partner in strategizing how we plan and deliver events as we scale across formats and geographies.
You'll work closely with our events, sales, and growth teams to make sure every experience we host reflects Alma at its best.
What You'll Do
Own Event Logistics & On-Site Execution
  • Manage the full operational lifecycle of events: venue sourcing, catering, vendors, AV, run-of-show, merch, and day-of readiness
  • Act as the point person on-site, resolving issues quickly and keeping everything running smoothly
  • Ensure every event feels premium, thoughtful, and true to Alma's brand

Build Unforgettable Event Playbooks
  • Create and refine repeatable operational playbooks, checklists, and timelines for different event formats
  • Standardize workflows and documentation so events run consistently, whether it's a 20-person dinner or a 200-person conference
  • Track budgets, staffing needs, and vendor relationships tied to our events calendar

Support Planning & Cross-Functional Coordination
  • Partner with the Events & Partnerships Lead to translate strategy into an operational plan
  • Review event requests and stakeholder needs to make sure logistics match the intended experience
  • Keep timelines, action items, and follow-ups visible and on track across multiple events running in parallel
  • Deliver clear, regular updates on event readiness, risks, and support needed

Track Performances & Iterate
  • Monitor what worked operationally at each event - what caused friction, what saved time - and feed it back into future planning
  • Track expenses against budget for each event, flag overages early, and propose budgets for upcoming events based on past spend and scope
  • Continuously improve processes as Alma's event cadence grows
You Should Apply If
  • You've run the operational side of high-quality events - whether professionally or as a student- and know what it takes to make one go off without a hitch
  • You're highly organized and can manage multiple events and vendors in parallel without dropping details
  • You have strong judgment and stay calm when something on-site doesn't go to plan
  • You're comfortable owning logistics end-to-end, from planning through breakdown
  • You enjoy building systems and documentation, not just executing one-off events
  • You communicate clearly and proactively with stakeholders across teams
  • Most importantly, you LOVE creating memorable event experiences for the attendees
You Should NOT Apply If
  • You prefer setting strategy over handling logistics and execution. This role is highly hands-on
  • You don't enjoy detail-oriented coordination, vendor management, or being on-site for events
  • You're uncomfortable with ambiguity or uncomfortable being the person who solves problems in real time when plans change
What It's Like to Work at Alma
We're a small, mission-driven team reimagining immigration from the ground up. We value thoughtfulness, speed, and building systems that scale. We work closely across functions and care deeply about the people we serve.
Benefits & Perks
  • Competitive base salary based on experience
  • 100% Health coverage + Vision + Dental
  • 20 days PTO + 10 Federal Holidays
  • $250 per month in wellness allowance
  • A front-row seat to startup growth, with mentorship from legal, tech, and business leaders
  • Opportunities to shape internal systems, take on more strategic ownership as you grow, and build something new
A Quick Note
We know the "perfect" candidate doesn't exist. If this role excites you but you don't meet every qualification, we'd still love to hear from you. Immigration is complex. So are people. That's what makes this work so meaningful.
