The Events Specialist will play a critical role in the tactical execution of all Premise Health tradeshows, conferences, and events, including our flagship annual client event. This individual will ensure seamless planning, coordination, and execution of all event logistics, while maintaining alignment with brand standards and business goals. This position requires strong organizational skills, vendor and stakeholder management experience, and the ability to thrive in a fast-paced environment.

This is a full time, hybrid Event Specialist role located in Brentwood, TN.

What You\'ll Do

Event Planning and Execution:

  • Manage the end-to-end execution of tradeshows, conferences, and corporate events, including our annual client event.
  • Develop and manage project plans, timelines, and checklists for each event.
  • Coordinate all logistical elements of events: venue selection, registration processes, booth selection and shipment, catering, A/V, and promotional materials
  • Oversee onsite event management, including registration, attendee experience, and vendor coordination.
  • Support onsite execution, including event setup, registration, and troubleshooting as needed.

Marketing and Communications:

  • Collaborate with the marketing team to develop event collateral, invitations, and follow-up communications.
  • Support event promotion through digital, social, and email marketing channels.
  • Ensure all branding, messaging, and experiences delivered at events are consistent with Premise Health’s standards.

Stakeholder Engagement:

  • Serve as the primary point of contact for internal teams, vendors, and external partners.
  • Work closely with marketing, sales, and operations teams to ensure event objectives are met.
  • Partner with external vendors, venues, and contractors to negotiate contracts, manage budgets, and ensure timely deliverables.
  • Support attendee and presenter coordination, including preparation and logistics.

Budget and Resource Management:

  • Develop and maintain event project plans, timelines, and status reports.
  • Develop and manage event budgets.
  • Track expenses, process invoices, and ensure cost-effective event delivery.
  • Manage inventory and distribution of event collateral and promotional materials.

Post-Event Activities:

  • Track and report on event metrics and ROI, providing insights and recommendations for future events.
  • Gather and analyze attendee feedback and event metrics.
  • Prepare post-event reports and recommend improvements for future events.

What You\'ll Bring

  • Bachelor’s degree in marketing, communications, hospitality management, or related field.
  • 3+ years of experience in full-cycle event management.
  • Experience managing tradeshows and large-scale events.
  • Proficiency in MS Office, event, and project management software (e.g. Cvent, Asana, Wrike, HubSpot, Salesforce, etc.)
  • Exceptional organizational and project management skills.
  • Strong attention to detail and ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
