Position Summary

ARES Technical Services Corporation is seeking a highly organized, proactive, and customer-focused Administrative Assistant to support the NASA Consolidated Program Support Services (CPSS) Program, Planning, and Control (PP&C) II contract. This position plays a critical role in supporting contract operations, workforce coordination, communications, and administrative activities while ensuring a seamless experience for employees, customers, and stakeholders. The Administrative Assistant serves as a central point of coordination for personnel onboarding, badging, travel, communications, meetings, contract events, and corporate interface activities. The successful candidate will possess exceptional organizational skills, strong written communication abilities, attention to detail, and the ability to manage multiple priorities in a dynamic NASA program environment. ARES supports NASA programs across Human Exploration, Science, Space Technology, and Mission Support, delivering integrated Program Planning and Control services that enable mission success.

Responsibilities

  • Serve as the primary point of contact for contract badging activities serving as the Facility Security Officer (FSO) with personnel onboarding and access requirements.
  • Maintain contract distribution lists, organizational contact information, and internal communication channels. Prepare and distribute contract announcements, notifications, and workforce communications.
  • Coordinate domestic travel arrangements and provide administrative support for contract personnel.
  • Support NASA IT account requests, onboarding activities, equipment coordination, and employee setup.
  • Support technical editing and quality reviews of monthly reports, contract deliverables, presentations, and other customer-facing documentation.
  • Assist with formatting documents, graphics, charts, and presentation materials using Microsoft Office applications.
  • Utilize and maintain information within NASA collaboration tools, including iSite, SharePoint, and other NASA systems.
  • Coordinate meetings, workshops, customer reviews, and contract events, including logistics, agendas, facilities, and meeting materials.
  • Serve as the contract Safety Point of Contact by supporting safety communications, presentations, walkthroughs, inspections, and awareness activities.
  • Coordinate with ARES Corporate departments including Human Resources, Security, IT, Contracts, Finance, and Facilities to support contract operations.
  • Track administrative actions and ensure timely completion of recurring contract deliverables and internal reporting requirements.
  • Provide general administrative support to contract leadership and perform other duties as assigned.

Required Qualifications

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Three (3) or more years of administrative, executive support, or program office experience.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong technical editing, proofreading, and document formatting skills.
  • Ability to work independently while supporting a diverse team in a fast-paced environment.
  • Ability to obtain and maintain a NASA badge.

Preferred Qualifications

  • Previous experience supporting NASA or another federal agency.
  • Familiarity with NASA administrative processes and collaboration tools, including NASA iSite.
  • Experience coordinating travel adhering government travel requirements.
  • Experience coordinating meetings, customer events, or executive briefings.
