Job description

Payroll Admin

The Payroll Administrator is responsible for supporting weekly payroll operations for union and non-union team members working at Wrigley Field. This role ensures accurate payroll processing, union compliance, timekeeping administration, gratuity and commission tracking, and adherence to collective bargaining agreements. The ideal candidate is highly detail-oriented, organized, and capable of working in a fast-paced event-driven environment tied to the Chicago Cubs schedule and stadium operations.

Key Responsibilities

Payroll & Timekeeping

  • Process and review weekly payroll with a strong focus on accuracy, timeliness, and compliance
  • Pull and submit union dues and fees in accordance with collective bargaining agreements
  • Enter and validate tip payouts, tip pools, shift pay and commissions, for associates
  • Review and correct employee timesheets, including missed punches, edits, and manager approvals
  • Process all holiday pay in accordance with union contracts and local labor requirements
  • Investigate, keep track and resolve payroll discrepancies and employee pay inquiries within a timely manner
  • Maintain accurate payroll records and supporting documentation

Union & Labor Compliance

  • Ensure compliance with union contracts, wage rules, overtime regulations, and scheduling provisions
  • Track union classifications, pay rates, seniority, and eligibility requirements
  • Partner with Operations Management and Human Resources to resolve payroll and labor-related issues
  • Maintain accurate records related to union reporting, audits, and compliance reviews

Reporting & Administration

  • Monitor trends related to missed punches, overtime, payroll adjustments, and attendance discrepancies
  • Develop plans to increase time-clock compliance with associates
  • Prepare payroll-related reports and labor summaries as needed
  • Ensure all payroll and HR deadlines are met in a timely manner
  • Assist with administrative payroll projects and process improvements
  • Support employee profile audits for seasonal and event-based employees' wages

Qualifications

  • 2+ years of payroll, timekeeping, or payroll administration experience preferred
  • Experience working in a unionized environment strongly preferred
  • Knowledge of payroll systems, timekeeping platforms, and labor compliance practices
  • Strong understanding of overtime calculations, gratuities, commissions, and shift differentials
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple priorities in a high-volume environment
  • Strong communication and problem-solving abilities
  • Proficiency in Microsoft Excel and payroll reporting tools

Work Environment

  • Fast-paced hospitality, stadium, and event environment
  • Ability to work extended hours during home games, concerts, and special events
  • Schedule flexibility required based on the Chicago Cubs season and event calendar

Preferred Experience

  • Stadium, hospitality, entertainment, or large-scale event payroll experience
  • Familiarity with collective bargaining agreements and union payroll processing
  • Experience handling tipped employee payroll and commission structures
