Job description

The Operations Supervisor is responsible for the day-to-day management of transportation operations across motorcoach, school bus, and shuttle services. This position ensures safe, reliable, and efficient service delivery by overseeing drivers, dispatch activities, route performance, customer service, regulatory compliance, and operational readiness. The Operations Supervisor serves as the primary point of contact for frontline employees and works closely with maintenance, safety, and management teams to meet operational goals and client expectations.

Essential Duties and Responsibilities:

Daily Operations Management

  • Supervise daily transportation operations to ensure on-time service delivery.
  • Monitor route performance, schedule adherence, service interruptions, and operational efficiency.
  • Coordinate driver assignments, vehicle availability, and service coverage.
  • Manage dispatch activities and respond to service disruptions, accidents, breakdowns, weather events, and customer concerns.
  • Ensure adequate staffing levels for daily operations, special events, charter trips, and school routes.
  • Maintain communication with drivers, dispatchers, customers, schools, and contract partners.

Employee Supervision

  • Provide direct supervision, coaching, and support to drivers and dispatch personnel.
  • Conduct pre-shift meetings, safety briefings, and operational updates.
  • Monitor attendance, punctuality, and employee performance.
  • Assist with recruiting, interviewing, onboarding, and training of new employees.
  • Conduct performance evaluations and provide corrective action when necessary.
  • Promote a positive work environment focused on safety, accountability, and customer service.

Safety & Compliance

  • Ensure compliance with all federal, state, and local transportation regulations, including DOT and FMCSA requirements.
  • Verify driver qualifications, certifications, and licensing requirements.
  • Investigate accidents, incidents, customer complaints, and safety concerns.
  • Ensure completion of required reports and documentation.
  • Support drug and alcohol testing programs and regulatory compliance initiatives.
  • Promote and enforce company safety policies and procedures.

Service Delivery & Customer Relations

  • Respond to customer concerns and service requests in a professional and timely manner.
  • Coordinate service changes, detours, special events, and emergency response activities.
  • Maintain positive relationships with school districts, charter clients, municipalities, and contract partners.
  • Monitor service quality and implement improvements to enhance customer satisfaction.

Fleet Coordination

  • Work closely with maintenance personnel to ensure vehicle readiness and availability.
  • Monitor vehicle defects and coordinate repairs as needed.
  • Ensure vehicles are properly assigned and utilized to maximize operational efficiency.
  • Participate in fleet inspections and operational readiness reviews.

Administrative Responsibilities

  • Prepare daily operational reports and maintain accurate records.
  • Review payroll information, employee timekeeping, and attendance records.
  • Track operational performance indicators, including on-time performance, staffing levels, accidents, customer complaints, and absenteeism.
  • Assist with budget management and cost-control initiatives.
  • Support audits, contract reporting requirements, and compliance reviews.

Qualifications:

Education

  • High school diploma or GED required.
  • Associate's or Bachelor's degree in Transportation, Business Administration, Logistics, or related field preferred.

Experience

  • Minimum 3 years of transportation, logistics, fleet, transit, school bus, motorcoach, or shuttle operations experience.
  • Minimum 1 year of supervisory or leadership experience preferred.
  • Experience managing unionized workforces is a plus.

Knowledge, Skills, and Abilities

  • Knowledge of transportation operations, scheduling, dispatching, and route management.
  • Understanding of DOT, FMCSA, and applicable state transportation regulations.
