Job description

To coordinate parking and transportation services for campus events, visitors, and special programs by developing event plans, managing event operations, and serving as a liaison for campus partners. To support Transportation and Parking operations through administrative, reporting, and customer service activities to ensure safe, efficient, and effective service.
The Special Events Coordinator, supports UAB Transportation and Parking by planning, coordinating, and managing parking and transportation logistics for campus events, visitors, and special programs. This position serves as a primary point of contact for event organizers, campus partners, and external stakeholders, developing customized parking and access plans that promote a safe, efficient, and customer-focused experience for event attendees. Under minimal supervision, the coordinator oversees event parking operations from initial planning through event-day execution, ensuring effective communication, operational readiness, and timely resolution of issues.
The role is responsible for maintaining departmental records, databases, and event documentation; compiling and analyzing operational data; generating reports; and preparing invoices and related financial documentation associated with event parking services. The position also provides administrative support to Transportation Parking operations and may serve as backup support for front-office customer service, permit services, transportation programs, or parking enforcement activities as needed to maintain uninterrupted departmental service. The successful candidate will demonstrate strong organizational skills, attention to detail, customer service excellence, and the ability to coordinate multiple priorities in a dynamic campus environment while supporting UAB's commitment to safety, operational effectiveness, and exceptional service.
Duties and Responsibilities:
  • Events Operations: Develop and implement detailed parking plans for special events based on expected attendance, venue requirements, and available parking resources. Collaborate with event organizers, facility management, and internal departments to assess parking needs, establish priorities, and align operational resources. Utilize parking management systems and databases to coordinate event setups, manage reservations, and maintain accurate records. Coordinate with third-party vendors, including valet services, shuttle providers, and traffic management partners, as needed. Monitor parking operations during events to ensure plans are executed effectively and make real-time adjustments to optimize traffic flow and space utilization. Maintain and update event parking schedules, operational documentation, and post-event reports, including performance analysis and recommendations for continuous improvement. Ensure effective communication and coordination with Parking Enforcement, Transportation Services, and front-desk teams to support seamless event-day operations.
  • Customer Service: Serve as the primary point of contact for all event-related parking inquiries, providing timely, accurate, and professional assistance to customers and stakeholders. Deliver exceptional customer service by addressing parking-related concerns, resolving issues promptly, and escalating complex situations when appropriate. Ensure clear and effective communication of parking options and event logistics through signage, pre-event communications, websites, and digital platforms.   • Systems and Data Management: Utilizes parking management software, including T2 Systems, and University platforms such as GIS mapping tools to support special event planning and operations. Leverages Microsoft Excel and other reporting tools to conduct operational reviews, perform data analysis, and identify opportunities for continuous improvement that enhance service delivery, operational efficiency, and the overall customer experience.
  • Financial Responsibility: Maintain accurate event-related records and documentation to support billing, invoicing, and reconciliation processes. Analyze event parking utilization and operational data to identify opportunities for improved efficiency and resource allocation.
  • Policy Compliance: Support the development, implementation, and continuous improvement of parking policies, procedures, and standard operating practices in relation to events management. Ensure event parking operations are conducted in accordance with departmental guidelines, safety standards, and operational requirements. Promote consistent application of Transportation Parking policies while maintaining a customer-focused approach to enforcement and compliance.
  • Perform other duties as assigned

Salary Range: $17.95 - $29.20
Qualifications
Bachelor's degree in Hospitality Management, Business Administration, Facilities Management, Event Management, or a related field and two (2) years of related experience required. Work experience may substitute for the education requirement. Driving record should meet University underwriting guidelines to drive vehicle in performance of University business. Current guidelines include possession of a valid driver's license issued in the United States, at least 21 years of age and at least 3 years of driving experience. Must maintain an acceptable Motor Vehicle Record (MVR).
Preferred :
  • Two (2) to four (4) years of experience in event coordination, parking operations, transportation services, facilities management, or a related operational environment.
  • Proficiency in Microsoft Office required, including Excel, Word, Outlook, and PowerPoint.
