Admissions and Events Assistant

About Dominican Academy

Dominican Academy is a Catholic secondary school for young women dedicated to academic excellence and community building through study, prayer, and action. In the tradition of St. Dominic, our intellectual and spiritual program guides and challenges students to seek truth and justice in their world and to make meaningful contributions to society.

Position Overview

Dominican Academy seeks a highly organized and welcoming Admissions and Events Assistant to provide administrative and event support to the Admissions and Development offices. The position is designed around two distinct areas of responsibility: supporting prospective families throughout the admissions process and helping execute school, alumnae, and fundraising events.

Work will be scheduled in coordination with the Director of Admissions and the Alumnae Relations Manager. Some evening and weekend availability is required for designated events, with advance notice whenever possible.

Admissions Responsibilities
  • Serve as a warm and professional first point of contact for prospective students and families by phone, email, and in person.
  • Maintain accurate applicant and enrollment records in the school's admissions database.
  • Process admissions materials and track application requirements, deadlines, and missing documents.
  • Support admissions events, including Open Houses, school fairs, information sessions, and Accepted Student programs.
  • Prepare event materials, registration lists, name tags, signage, and follow-up communications for admissions programs.
  • Assist with data entry, reporting, mailings, scheduling, and general office organization.
  • Provide additional administrative support to the Director of Admissions as needed.
Development and Special Events Responsibilities
  • Support the planning and execution of alumnae, donor, and fundraising events led by the Development Office.
  • Assist with event logistics before, during, and after each program, including guest lists, registration, supplies, name tags, catering coordination, room setup, and breakdown.
  • Coordinate with staff and student, parent, and alumnae volunteers to support an organized and welcoming guest experience.
  • Assist with communications to invitees and track registrations and attendance.
  • Support vendor and venue research and help coordinate approved vendors, including catering, photography, and audiovisual services.
  • Assist with auction outreach, in-kind donation tracking, bidding-platform data entry, and post-event reconciliation for the Spring Auction and Benefit.
  • Attend the Dominican Academy events assigned to this position, which may include reunions, parent and alumnae receptions, cultivation events, and the Spring Auction and Benefit.
Qualifications
  • Associate or bachelor degree preferred, or an equivalent combination of education and relevant experience.
  • At least two years of experience in administrative support, admissions, events, customer service, education, or a nonprofit environment preferred.
  • Strong organizational skills and careful attention to detail, with the ability to manage multiple assignments and meet deadlines.
  • Excellent verbal, written, and interpersonal communication skills.
  • A professional, service-oriented manner when interacting with students, families, alumnae, donors, volunteers, colleagues, and vendors.
  • Proficiency with Microsoft Office and comfort learning school databases, event platforms, and other digital tools; familiarity with Canva or Raiser's Edge is a plus.
  • Ability to work independently while collaborating collegially across the Admissions and Development offices.
  • Sound judgment, discretion, and a willingness to assist with hands-on event preparation and execution.
  • Commitment to the mission and values of Catholic Dominican education, including study, community, service, prayer, and respect for the dignity of every person.
