Job description

About the Role:
As a CBRE Meeting & Events Coordinator, you will assist with the coordination and execution of small to medium meetings, conferences, and events.
This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.
What You'll Do:
  • Provide support for various meetings from small to larger and more complex meetings and events as needed.
  • Work with clients, vendors, and team members to coordinate guest services. This includes arrival experience, signage, displays, special requirements and printing.
  • Create a hospitable environment for attendees, event hosts, and vendors on the day of the event.
  • Assist with conference room turnover and midday room refresh. Reconfigure rooms for evening indoor and outdoor spaces. Take direction from senior team members.
  • Respond to event activities such as gathering event supplies, equipment needs, providing support to food & beverage partner services, facility security, etc.
  • Conduct room set up, refresh, and removal of food, beverage, and service items. Maintain outlines of small space configurations, decor possibilities, and event-related event items.
  • Complete room checks and ensure technical and visual spaces are functional.
  • Troubleshoot basic audio and technical issues.
  • Manage content for digital displays across building screens, including large-format AV displays in main conference spaces and distributed screens in pantries and common areas.
  • Upload, proof, and coordinate approval of content using the building's digital display management system and pre-built templates.
  • Liaise with stakeholders to gather, organize, and schedule display content in a timely manner.
  • Assist with cord management & safe setup.
  • Create and edit graphics and visual content using design tools similar to Canva.
  • Apply an eye for detail and visual consistency when preparing content for display across building screens and event spaces.
  • Assist with meeting room set up and break down, including furniture configuration, AV readiness, and return of spaces to standard layout following events.
  • Liaise with client management regarding the exact requirements for events. This will include assistance with PowerPoint presentations, audio, and videoconferences.
  • Manage a small inventory of event supplies.
  • Assist with post-event reporting and reconciliation. Escalate potential issues and concerns as appropriate.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.

What You'll Need:
  • High School Diploma or GED with up to 2 years of job-related experience.
  • Fulfill the physical requirements associated with this role. This includes stooping, standing, walking, and climbing stairs. Must be able to lift/carry heavy loads of 50 lbs. or more.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. Familiarity with graphic design or digital content tools such as Canva is preferred.
  • Eye for detail and graphic design; ability to apply brand standards and visual consistency when preparing digital content for public-facing displays.
  • Strong organizational skills with an inquisitive mindset.
