Job description

We're looking for a highly organized, personable Office Coordinator to keep our workplace running smoothly. You'll be the first face visitors see and the person the whole team relies on - from managing our shared inbox to making sure the conference rooms, kitchen, and daily office operations run efficiently and effectively.
This role will also be instrumental in helping our team shape and grow culture. The person in this seat sets the tone for how our office feels: the warmth a visitor senses walking in the door, the birthday that doesn't go unnoticed, the happy hour that actually brings people together, the little touches that make the office somewhere people want to be. You'll notice what would make the team's day better and just make it happen.

What You'll Do
Front of House & Visitors
  • Greet visitors, seat them in conference rooms, and offer refreshments
  • Manage the visitor list and confirm NDAs are signed
  • Assist with incoming deliveries

Conference Rooms & Calendar
  • Straighten and prep conference rooms each morning and evening
  • Monitor the room calendars to prevent double bookings
  • Assist the team with room bookings and ensure meetings are in the appropriate sized room

Email & Communications
  • Manage the company email inbox, routing and responding as needed

Kitchen & Office Upkeep
  • Keep the kitchen stocked and tidy: dishes, counters, drinks, snacks, and groceries
  • Order and restock snacks, drinks, and groceries
  • Refill and manage the water dispenser
  • Coordinate team lunch and dinner orders M-F

Team Culture
  • Track and celebrate team birthdays and work anniversaries
  • Help with team events: happy hours, office decor, swag orders, and team gifts
What We're Looking For
  • Prior experience in office administration, reception, hospitality, or a similar role 3+ years
  • Strong organizational skills and keen attention to detail
  • Warm, professional communication with visitors and teammates
  • Comfortable juggling multiple tasks and priorities daily
  • Proficiency with email and calendar tools
  • Reliable, proactive, and takes ownership of the workplace experience
