Job description

The Logistics Coordinator's primary objective is to monitor customer fuel levels, place fuel orders, schedule deliveries, track shipments, and ensure timely and accurate delivery of loads. This includes customer service, on-time delivery of service and quality. Must effectively manage internal processes and external vendors to ensure a safe and productive operation. The Logistics Coordinator is expected to interface directly with customers, company drivers, vendors, and other members of the Sapphire team. This position will report directly to the Director of Transportation.

Responsibilities include, but are not limited to:

  • Schedule and coordinate pickup and delivery of equipment and commodities.
  • Dispatch company drivers and communicate regularly with internal and third-party drivers.
  • Monitor fleet tracking systems and work with operations on driver availability & performance.
  • Manage & support between approximately 15-20 drivers.
  • Oversee internal drivers & SGS equipment using the Samsara Fleet tracking system.
  • Use LevelCon, Grafana & Samsara Industrial to monitor tank levels & customer fuel usage via SCADA systems.
  • Analyze tank data using SGS software & input information into the SGS Weekly Planner to track deliveries and customer consumption effectively.
  • Review the SGS Daily Tank Inventory Report to verify fuel usage and delivery accuracy.
  • Utilize the SGS Cost Calculator & PCS Carrier Rates for accurate cost management and planning.
  • Use PCSTMS Shipper to input data and dispatch loads to internal and external drivers.
  • Update and provide tracking information to customers and internal managers.
  • Develop delivery routes and maintain contact with drivers throughout the day.
  • Collaborate with customers & drivers to modify daily routes to accommodate customers' needs.
  • Understand and ensure compliance with company standard operating procedures and policies.
  • Work with transportation to identify and solve logistics issues and identify the root cause of problems in logistics, vendor management, or business quality.
  • Prepare customer usage reports (weekly, monthly, projects) using Excel.
  • Stay informed on DOT regulations, SGS policies, and government safety & regulatory standards.
  • Perform other duties as assigned.

Qualifications include, but are not limited to:

  • Bachelors in Logistics, Supply Chain & Operations Management, or related field preferred. 
  • 2+ years of transportation dispatch, logistics or industrial dispatch experience.
  • 2+ years transporting hazardous materials (natural gas, oil, or hazardous bulk liquids). Tanker trucking experience preferred.
  • Familiarity with Samsara, Grafana, PCS, SCADA, LevelCon or other similar ELD programs.
  • Bill of Lading (BOL), weight data entry & assessorial fee documentation (trip charge, detention, overnight holds, etc.) experience.
  • Knowledge of laws, regulations, and federal DOT requirements.
  • Strong written and verbal communication, interpersonal, and organizational skills.
  • Advanced skills with Microsoft Office, Excel, Outlook and mobile email & mobile apps.
  • Ability to multi-task in a fast-paced environment & the ability to self-monitor with personal accountability.
  • Possesses a strong work ethic and team player mentality.  
  • Able to respond to customers with courtesy and knowledge, in person and by telephone, 
  • Apply good judgment and customer service while maintaining a positive professional attitude.
  • Strong leadership qualities with a high attention to detail and the ability to create & maintain professional relationships.

Work conditions include, but are not limited to:

  • Evening Shift: 7pm - 3am
  • Travel less than 25%. Some travel to regional locations or job sites may be required.
  • Many working hours will be spent on the phone and at a computer.
  • Long periods of time sitting or standing.
  • Ability to lift to 30 lbs.

The physical requirements include, but are not limited to:

  • Having the ability to stand, walk, stoop, kneel, reach, climb stairs and ladders.
  • Able to exert routine physical effort on a regular basis.
  • Able to safely operate a motor vehicle and the ability to enter and exit a vehicle unassisted.
