Position Summary

The Estimating Assistant is responsible for supporting the Estimating team by managing administrative and document control tasks for upcoming and active construction projects. This role works closely with Estimators and Project Coordinators to ensure accurate information flow, organized estimating files, and proper project setup support.

Estimating Support & Coordination
  • Coordinate with Estimators and Project Coordinators to gather budgets and new project information sheets
  • Assist in maintaining accurate and up-to-date estimating data for upcoming projects
  • Support the transition of information from estimating into project setup
Document Control & File Management
  • Download and organize plans and project documents for upcoming projects into estimating files
  • Maintain well-structured and accessible estimating folders and records
  • Track and manage document updates, ensuring teams are working from the latest information
Project Administration Support
  • Assist with project buyouts, including drafting and managing subcontracts, service agreements, work orders, and purchase orders
  • Maintain accurate subcontractor, vendor, PO, and Change Order logs
  • Track subcontractor/vendor correspondence and communicate issues to the appropriate team members
Compliance & Coordination
  • Coordinate with Finance/Accounting to ensure compliance requirements are met (e.g., Bonds, COIs)
  • Work with internal departments to support smooth project setup and execution
  • Assist in identifying and communicating potential risks or missing information during pre-construction phases
Reporting & General Support
  • Support reporting efforts by maintaining organized and accurate records
  • Collaborate with team members to ensure deadlines and priorities are met
  • Perform additional duties as needed to support company goals
