The Assistant Director of Admissions Operations provides strategic and operational leadership for the systems, processes, and data that support graduate admissions at St. Cloud State University. This position oversees application processing, workflow management, CRM and Student Information System (SIS) administration, data integrity, reporting, and compliance. The Assistant Director partners with academic programs, the Graduate School, International Student and Scholar Services, Information Technology, and other campus stakeholders to ensure an efficient, equitable, and student-centered admissions experience.
Lead admissions operational planning and annual cycle setup.
Design, document, and continuously improve admissions workflows to increase efficiency and accuracy.
Oversee application intake, document tracking, and decision workflows for domestic and international applicants.
Establish quality assurance standards and service-level expectations.
Serve as functional lead for the admissions CRM, application & review solution, and Student Information Systems (ISRS and/or WorkDay).
Configure application cycles, forms, workflows, queries, and communications.
Maintain data accuracy through audits, de-duplication, and compliance checks.
Coordinate testing and enhancements with IT and system vendors.
Develop dashboards and reports to monitor funnel performance and operational metrics.
Analyze time-to-decision, application volume, and yield indicators.
Provide actionable insights to admissions leadership and academic programs.
Ensure compliance with FERPA, data privacy requirements, and Minnesota State policies.
Oversee secure management of applicant records and records retention.
Collaborate with International Student and Scholar Services on international application compliance.
Serve as primary operational liaison to academic programs.
Partner with recruitment and marketing staff to align operations with outreach strategy.
Improve applicant experience through clear communications and consistent processing timelines.
Lead worker to admissions operations staff and student employees.
Coordinate onboarding, training, and cross-training initiatives.
Foster a culture of service excellence, equity, and continuous improvement.
Minimum Qualifications
Master's degree plus one year of professional experience in admissions operations, enrollment management, or related field OR, Bachelor's degree plus two years of professional experience in admissions operations, enrollment management, or related field
Professional experience with admissions CRMs and Student Information Systems
Demonstrated knowledge and application of FERPA and data privacy standards
Demonstrated commitment to equity, inclusion, and student success
Strong organizational skills with the ability to manage multiple, competing priorities
