Position Summary

The On-Site Supervisor supports the On-Site Manager in the daily management of Epic Personnel Partners’ workforce assigned to a client location. This role is responsible for supervising associates, supporting client operations, ensuring accurate documentation, maintaining safety standards, and delivering exceptional service to both the client and Epic associates.

Unlike a traditional warehouse supervisory role, the On-Site Supervisor is responsible for managing the working relationship between three key groups:

  • The client’s operational leadership
  • Epic Personnel Partners’ internal branch team
  • Epic associates assigned to the client site

Success in this role requires balancing the needs of the client, supporting the associates, and maintaining clear communication with the Epic branch team to ensure staffing operations run smoothly and service expectations are consistently met.

The On-Site Supervisor represents Epic at the client location and plays a critical role in ensuring the client experiences consistent, professional workforce management and service delivery.

Core Responsibilities

Workforce Supervision

  • Oversee Epic associates working at the client site to ensure attendance, performance, and safety expectations are met.
  • Conduct new associate orientations, job site tours, and establish clear job duties, expectations, and workplace standards with associates.
  • Provide coaching, guidance, and support to associates to improve performance and productivity.
  • Monitor associate attendance and coordinate with the branch office to address staffing gaps or coverage needs.
  • Address attendance, conduct, and performance issues appropriately and escalate serious matters to the On-Site Manager when necessary.
  • Issue corrective actions when required and document employee performance concerns.
  • Foster a professional and supportive work environment that promotes employee engagement and retention.

Client Operations Support

  • Maintain strong working relationships with client supervisors and operational leadership.
  • Serve as a primary operational point of contact for the client, responding to customer emails and phone calls promptly, with a target response time of within 30 minutes.
  • Communicate client staffing needs, open orders, and operational changes to the Epic branch team.
  • Ensure client expectations, performance standards, and operational requirements are clearly communicated to associates.
  • Participate in operational meetings with the client when requested and communicate key updates to the On-Site Manager.
  • Assist in resolving workforce issues that may impact client satisfaction or operational efficiency.

Workforce Management & Documentation

  • Track associate attendance, timekeeping, and payroll-related activities to ensure accurate reporting.
  • Maintain accurate records of associate performance, attendance, and work history in the management system.
  • Conduct regular audits of associate documentation and employment records.
  • Provide feedback to the branch office regarding associate performance and placement quality.
  • Compile workforce data and assist with reporting or trend analysis when requested.

Safety & Compliance

  • Promote and enforce workplace safety standards and procedures.
  • Conduct regular safety walks and observe associate work practices.
  • Lead safety start-up meetings and reinforce safe work practices with associates.
  • Monitor warehouse floor activity to ensure compliance with safety guidelines.
  • Investigate workplace incidents or injuries and assist with documentation and reporting.
  • Support safety training and certification processes for material handling equipment when applicable.

Communication & Team Coordination

  • Maintain clear communication with the On-Site Manager regarding operational updates, staffing needs, and site concerns.
  • Coordinate closely with the Epic branch office to ensure orders are filled quickly and accurately.
  • Communicate effectively with associates regarding expectations, workplace policies, and operational updates.
  • Provide end-of-shift updates or handoffs to ensure operational continuity across the on-site team.
  • Collaborate with other On-Site Supervisors and team members to ensure tasks are completed efficiently.

Operational Support

  • Identify opportunities to improve operational processes, service delivery, and workforce efficiency.
  • Support initiatives that improve associate retention and workforce stability.
  • Assist with unemployment claims, workers’ compensation claims, or investigations when directed.
  • Identify potential operational or safety risks and escalate concerns appropriately.

Minimum Requirements

  • High school diploma or equivalent required
  • Prior supervisory, warehouse, or staffing industry experience preferred
  • Strong organizational and communication skills
  • Ability to manage workforce operations in a fast-paced environment
  • Flexibility to work varying schedules as operational needs require

Technology & Systems

Proficiency in the use of:

  • Microsoft Office (Outlook, Teams, Word, Excel)
  • Timekeeping and workforce management systems (e.g., AMG, Novatime, Bullhorn Time & Expense)
  • Applicant tracking systems (e.g., Avionte/Bold, JobDiva, Bullhorn)

Work Environment

This role operates primarily within a warehouse or distribution center environment and may involve:

  • Exposure to varying temperatures including cold and hot conditions
  • Working in a fast-paced operational environment
  • Interaction with warehouse equipment and active production areas

Physical Requirements

  • Ability to lift up to 50 pounds when necessary
  • Must be comfortable working in a warehouse environment, including walking and standing for more than 70% of the workday. This role requires a strong presence on the warehouse floor and is not a fully desk-based position.
  • Ability to sit at a workstation for administrative tasks when needed
